Changing picklists
Picklists are used by all active Bp Event users. Users with the appropriate authorisation can edit picklists. Devise a concept for maintaining picklists and make changes carefully.
Note: Not all picklists can be edited or changed. Picklists can access database fields, so only the existing fields are available in the list. These picklists have a yellow background.
Example: The picklist for the "Responsible" person in a record only shows staff who are "Users" in the database.
- Assign the authorisation to change picklists to a user group
Picklists are available to all Bp Event users in your company. Authorisation to change picklists must be assigned per user group.
- Go to the
Administration tab and click on
Uses >
User groups >
Search. - Double-click to open the user group you want to authorise to change picklists. Go to the
Authorisations tab to define the rights that are granted to a user or user group. - Authorisations for the more usual functions of the Bp Event can be assigned by clicking the buttons in the toolbar. Activate
Change picklists here.
Save and close the user group.

- Change a picklist within a record
Picklists are used by and changed for all Bp Event users, these are not user-specific settings. Be very careful when making changes to these lists.
- Open a picklist in the record.
Example: Occasions for events - If you have authorisation to change picklists, you can open the list for editing by clicking on
Edit. - Add or change the Picklist values, separate the individual options with a line break.
Note: Leave the first line blank (without labelling) if the field may also remain blank (empty) and the top value is not to be pre-assigned by default. Ensure that the list is structured by topic or sort alphabetically as needed. - Save your entry by clicking OK.
- Click on the picklist again and select the value you have just entered.
Save your input.
- Open a picklist in the record.
- Change picklists in the picklist catalogue
Various picklists are available in Bp Event. Some, such as the event status, cannot be edited. Many other picklist can be expanded and changed by users according to company-specific requirements.
Example: Item Type or item Code
Picklists are maintained either in the corresponding record or in the picklist catalogue. Editing the picklists in the catalogue saves time, as it is not necessary to open each individual record.
- To change picklists, go to the
Configurations tab in the function bar and select 
Catalogues >
Picklists. - A list of all picklists (sorted alphabetically) will open.
- Open a picklist by double-clicking or left-click and then click
Edit. - Enter the picklist values in the input field, separating the individual options by pressing Enter.
Note: Leave the first line blank (no value) if you want to be able to save that input field without a value. - Save your entry by clicking OK.
- The cahnges will appear in the picklists of all the relevant records.
- To change picklists, go to the
- Enter company-specific data in the picklist
NEW: For multi-company databasesM the lists can be differentiated per company. Values in the picklist are available to all companies and can be supplemented by the company-specific values.
The values from several fields are sorted and duplicate values are merged.
- Add or change the Picklist values visible in all companies.
Note: If there are no overarching values, this field remains empty. - To enter separate lists per company, open the Company-specific values below the Picklist values field.
Text fields for picklist maintenance are displayed for each company profile. - Open a company-specific text field for editing by clicking
Search. - Add to or change the list per company and separate the individual options with a line break.
- Save your entry by clicking OK.
