Sending shift offersM

Service requests to staff can be sent by e-mail, letter or SMS. The details for sending emails and text messages are defined in consultation with your Bp event organiser when setting up the software at Administration AdministrationAdministration SettingsE Mail Email .

  • Open a new shift offer

     Staff requests can be sent to one or more staff members at a time, for a specific event or a selected date.

    1. Gehen Sie zu Basis Basispersonal Mitarbeiterdienst Dienstplaner mit der Datenquelle Veranstaltung.
    2. Open the enquiry window by right-clicking on the desired event > Anfrage Staff enquiry.
    3. Alternatively, go to Basis Basispersonal StaffAnfrage Requestsneu New and, if necessary, assign an event via VA Eventsuche Search .
    4. Die Veranstaltungsdetails und bestellten Personalrollen werden automatisch mit den Daten der gewählten Veranstaltung gefüllt und sind nicht selber eingebbar.
    5. The event period is preset as enquiry period , but can be overwritten. If no event is selected, the request date is preset with the current date.
  • Select the staff members you want

     On the left-hand side of the input window, select the staff who are to receive the enquiry.

    1. The selection list Role is set to all roles by default. All staff appear in the staff list on the left-hand side of the window.
    2. Select only a specific role to limit the list to only those staff members who have been assigned that role.
    3. Use Personnel details to filter staff more precisely by performance level, driving licence, language skills, etc. Only those staff who have all the set properties will appear in the list of staff.
    4. Der Farbcode gibt Auskunft über die Verfügbarkeit des Mitarbeiters:
      1. Red -> sick or not available
      2. Grün -> zu dieser Veranstaltung bereits angefragt
      3. Gelb -> zu einer anderen Veranstaltung angefragt
      4. Purple -> already has shift
    5. Left-click and hold down the Ctrl key for multiple selection to select one or more staff members to receive the request.
  • Send the email / letter / SMS

     Enter the text for the e-mail/letter/SMS directly as usual or using a text template (Use a letter template).

    1. Choose at the top left between sending as Brief letter or E Mail email or Handy SMS.
    2. If necessary, select a vorlage brief text template for the enquiry in the horizontal toolbar of the text document.

    4. Click at the top left on Senden Send enquiry or Print enquiry.
    5. Alternatively, send the notification to an individual employee by right-clicking on the name and Enquiry with letter or Enquiry with e-mail.
    6. For an individual employee, save a verbal enquiry without correspondence via the context menu by right-clicking > Enquiry.
      Note: Although several staff can be selected, the enquiry is actually only sent to one (the last) selected name.
