Using the Online Shift Planning WebAppM

The Online Shift Planning WebApp is a browser-based application that allows staff to access their duty rosters from any computer with an internet connection without access to the Bp Event software. They enter their availability in advance and apply for open shifts as advertised in the events calender. Confirmations are sent automatically as soon as the shift is assigned by the line manager.

  • Get access the web application

    You must have the appropriate authorisations to see shifts and communicate availabilities in the Online Shift Planning WebApp. A Bp Event user with administrative rights must create a record for you in the database:

    1. As an Adresse  Account
      1. with email and telephone number for notifications
      2. with a suitable category (staff or similar)
    2. As personal Staff member
      1. linked to the Adresse Account
      2. with activated dienst Shift planner
      3. with suitable personal Staff roles
      4. with corresponding Personal Vertrag Staff contract
      5. with activated Password WebApp Access to the right of the role window with corresponding User Access.
  • Log in on the browser

    Your administrator will provide you with the web address (URL), login name and password to log in to the Online Shift Planning WebApp.

    1. Open a new window in your web browser (Mozilla, Explorer, Chrome or similar).
    2. Enter the URL in the address bar at the top of the window. Save the address in your Favourites folder/bookmarks to log in quickly and easily.
    3. Enter your Login name and Password and click on Login.
    4. The calendar overview with your own already assigned or possible shifts for the current date will open.
  • Select your user settings for the calendar

    The calendar gives an overview of all assigned or available shifts. Like all tabs, the calendar can be opened multiple times to show different information.

    1. Select the period shown in the top right-hand corner (day, week, month).
    2. The view Events shows all events with shifts that correspond to your own staff roles. The entries for events have a grey border. It is also shown whether staff roles still need to be filled (blue) or whether a shift has already been scheduled for the user (green).
    3. Left-click and select to open either the Event details or an Event data sheet for printing.
    4. The view Shifts shows all shifts as well as your own input on availability or absence. The entries for shifts have a green border. Planned shifts have a light grey background, confirmed shifts a green background.
    5. Left-click to open the Shift details.
    6. The view All offers shows events and shifts.
    7. refresh Refresh the calendar to see changes.
  • Specify if and when you can work on a particular day

    Even before planning shifts or events, you can specify whether you are available on a particular day or at a particular time. This eliminates the need for unnecessary staff enquiries or shift rebookings.

    1. Go to the Calendar tab and left-click on a day.
    2. If you want to work on that day, select Available.
    3. If you are unable to work, select Not available.
    4. Enter the exact times and confirm by clicking Send.
  • Apply for available shifts at an event

    In the calendar, the views All or Events display all events for which shifts are available for one of the staff roles assigned to the logged-in user. As long as shifts are still open - i.e. not assigned to a staff member - you can apply for them. Events for which staff are still required are marked in blue in the calendar.

    1. Go to the kalender  Calendar tab and left-click on an event to open the Event details.
    2. The input window with detailed information on the event will open.
    3. Select one or more shifts from the list of available shifts. If you want to apply for several shift, these must not overlap in time.
    4. Confirm by clicking Apply.
    5. The period of the shift for which you have applied is automatically displayed in the calendar as Available. As soon as the shift is actually assigned, it no longer appears as Available (yellow), but as Confirmed shift (green).
  • Search for your shifts

    To get an overview of all your own shifts, search for your shifts in a specified time period.

    1. Go to the suche Shift search tab.
    2. Enter a time period.
    3. Start the suche Search.
  • Reset your availability and absence details

    Once the availability or absence details have been entered, they can be reset as long as they have not yet been converted into a shift. The status is then undefined again.

    1. To reset your availability on a single day, go to the kalender  Calendar tab and that day, then click on that entry.
    2. Left-click and select Delete availability.
      Note: This resets the status to "undefined", which is not the same as "not available".
    3. To cancel availability for several days, go to the neu  Availability tab.
    4. Use the date fields to enter a time period and confirm by clicking Entfernen Cancel availability.
    5. Select the shifts you want from the picklist and confirm by clicking Entfernen Cancel availability.
    6. Delete Not available entries for individual days in the kalender  Calendar by left-clicking on that day and time. Absence notifications cannot be reset via the list.
  • Print your shift roster

    You can print out your own shift roster so that you always have an up-to-date version to hand.

    1. Go to the pdf Roster tab.
    2. Click on Create shift roster to create the roster as a PDF.
    3. Print by clicking on drucker.
