Creating a Staff RoleM
- Open a new staff role (service item)
Staff roles are created like any other sales item as master items.
- Go to the
Home tab on the function bar.
- Click on the dropdwon triangle next to
Items and select
New and, if applicable, your company.
- A new item will open.
- Go to the
- Enter an item name
Choose a unique and meaningful name for the staff role.
- Enter the item name in the Name field.
Note: Set an operational standard for item names to facilitate searches and evaluations.
Example: Head chef or Chef; Head waiter or Chef de rang - Click on
Find duplicates to see a list of all similar names and avoid potential duplicates.
- If the name already exists, accept that item and confirm with Change.
- If the name is not on the list, close the results window by clicking on
in the top right-hand corner of the window and go on to create a new account.
- Enter the item name in the Name field.
- Assign an item group
Assignment to the correct item group has far-reaching effects on the subsequent possible uses of the staff item.
- Select the Item group "Staff" and a suitable sub-group.
Example: Staff > Floor staff - If you have the Shifts and StaffM module: a new tab
Staff member will appear in the side navigation (Assign staff members to a staff role).
- For further optional groupings of items, use the expandable picklists in the Type and Code fields. Both are used to structure data and facilitate searches by adding information.
- Select the Item group "Staff" and a suitable sub-group.
- Invoice for staff by hours worked
Staff pricing is always based on both count and hours, as obviously the length of the assignment must be taken into account.
- Enter your sales unit (per hour/half-day/day..) in the Sales unit field, leaving the Qty. and Contents unit fields empty.
- Enter a number of hours in the Issue unit field if applicable.
- Assign a Mandatory time reference if you want to enforce the input of exact work times. These time are preset to macht the segment times into which the role is booked, but can be changed manually. The price is calculated based on the number of booked roles (Count 1) multiplied by the hours (Count 2)
- Assign an Optional time reference if you want to enable but not enforce the input of exact work times. The price is calculated based on the number of booked roles (Count 1) multiplied by the hours (Count 2) if entered.
- Enter your Prices per price group.
- Calculate staff at a flat rate
Staff can also be offered at a flat rate, regardless of the hours worked. Nevertheless, it is useful for staff planning to be able to enter deployment times.
- Enter the Sales unit as "Flat rate" and leave the fields Contents, Unit, Servings and Issue empty.
- Assign an Optional time reference if you want to enable but not enforce the input of exact work times. The price is based exclusively on the number of booked roles (Count 1). Any work times entered in Count 2 will not affect pricing and are only used for organisational purposes.
- Enter your Prices per price group.
- Assign staff members
If you have the Shifts and StaffM module, a new tab
Staff member will appear in the side navigation. On this tab, link this particular staff role to qualified staff members.
- Click on
Staff members in the side navigation.
- A list of the people already assigned (if any) will open.
- Click on
Add in the toolbar of the list of team members.
- Double-click or left-click and
Confirm to select the qualified staff members.
- Note: Select one or more staff members by left-clicking and holding down the Ctrl key.
- The new staff role will appear in the list of Roles available to these staff members.
