Creating an event template
- Open a new event template
Event templates are created on the basis of existing events. Before a template can be created, the so-called "sample event" must therefore exist, which is then saved as a template. Either use a real, well-planned event for this or create such an event for this purpose only.
- In the function bar, go to
Templates >
Events >
New creation and select the company* if necessary.
- Select the type of event from the selection list and give the template a meaningful name . The template will be offered for selection under the name selected here when creating a new event.
Note: Select table reservation events in the next step via the event type . - Some event data can, but does not have to, be transferred to the template. Not all options are available for templates for table reservation events:
a) Timesthat are retained from the template overwrite the booking times that are selected for the new event.
b) Rooms can be pre-allocated; a warning is issued in the event of double bookings.
c) The event schedule can be copied (including a link to a process if necessary). - Either all types of transactions (quotation, order, invoice) or only individual ones can be copied. Activate with a tick under Copy transaction data > Only of typeto only offer quotations, orders or invoices for copying.
- Specify that the articles are to be copied and tick Prices updated if the prices from the sample event are not to be copied, but rather the current daily prices.
- Entire guest lists can also be taken from orders.
- The detailed description of the template appears when creating a new event with a template. This detailed description with information on default settings, possible scenarios and template recommendations is very helpful, especially if there are several templates to choose from.
- In the function bar, go to
- Select a sample event
Once you have specified which event template data is to be copied, select the event to be used as a template.
- Left-click on
Sample event to open the event search.
- Select the appropriate VA type (Normal, table reservation, delivery service or internal) to be offered only suitable events as samples.
- Search for the desired event and select it from the list of results by double-clicking on it.
Note: Make sure that the sample event is not completed. - Specify the date on which the sample event should be saved (previous date Retain, Today, Select). The date is only used as a reference date and is not transferred to the events created from the template.
- If necessary, make changes and save the sample template via
.
- The sample event is saved under a new event number and only with the selected data.
- The template and its sample event can be changed at any time.
