- Create a guest list
With a guest list, you record all participants of an event individually in order to enter individual prices, times or other information, or to send emails. Unlike the reservation list (Using reservation lists*), there is no link to table reservation or ticketing, nor is it possible to create tickets. Guest lists can only be created for orders, and there is only one guest list per order.
- Open the list in the desired event by left-clicking on Order > Guest list.
- Create new guests via in the horizontal toolbar of the input window. The guests do not necessarily have to be created as accounts in the database, but can be saved as temporary accounts with names only.
- Enter the guest details
Guests can be listed on the guest list with or without an address in the database.
- If the guest exists as an account, click Account, enter the name and confirm with Search or Enter.
- Select the desired account by double-clicking or Apply.
- If the guest is not yet found as an account in the database, select "Create new" in the dialogue or create a new account via New creation above the list of accounts found.
- If no account is to be created for the guest, select Hold name.
- Enter a number of persons in the field Persons > Adults and, if applicable, in the field Children .
- Further fields for details such as individual prices, times or comments can be filled in as required.
- Print name badges, place cards etc.
Table cards, name tags etc. can be printed via the guest list if the corresponding lists are available.
- Open the selection of existing lists by left-clicking on Select output list in the horizontal toolbar of the guest list.
- Select the desired list, e.g. Guest list > "Table display", to display the correct guest record fields. The selected list of guest records is displayed in the input window.
- Now click on > Export > Word processorto open the word processor with the correct template.
- Print the name badges via Print in the top horizontal bar of the word processor.
- Write a letter/email or SMS from within a reservation
You can send letters or e-mails to individual guests from the guest entry itself; a telephone number is sufficient for text messages.
- Open the record in the guest list and switch to the tab letters/emailsin the navigation bar on the left.
- Create a new letter/email/SMS with or without a template via in the input window (Writing an email). Which templates and dispatch type are offered depends on the existing data:
- Phone number only: SMS dispatch only
- E-mail address: also e-mail dispatch
- Complete account: also letter
- Send email/SMS or Print letter.
- Write a letter /email to all guests on the reservation list
Bilk mails or emails can be sent via templates to all accounts on the guest list for which an email account is specified.
- Open the guest list. If no name or all names are selected, the bulk email is sent to all. Select individual recipients by left-clicking and holding down the Ctrl key.
- Click on in the horizontal toolbar and select Mail merge for sending by post, Mail merge or SMS merge.
- Double-click on a text template in the list. The text of the template cannot be changed manually here (Creating a text template or Writing a bulk email)
- Confirm the enquiry with Print letter or Send e-mail.
- Store customer feedback
In den Gasteinträgen können Bewertungen als Basis für Auswertungen gespeichert werden. Dieses Möglichkeit muss in den administrativen Einstellungen aktiviert werden.
- In the guest entry, go to the tab Feedback.
- Create a new rating via . Select Feedback for an empty input window or Feedback from... for guest-related feedback.
- Datum und Uhrzeit sind mit der aktuellen Zeit vorbelegt und können manuell verändert werden.
- Save your input by clicking on the icon in the top left-hand corner of the input window.
