Searching for events

  • Open a simple search

    As soon as a table (addresses, items etc.) contains more than 20 data records, a real search window opens. Smaller amounts of data are displayed as a simple list. There are pre-assigned or user-defined hotkeys for many searches (see Use hotkeys). 

    1. Open the search by left-clicking on the icon of the desired table (accounts, events,...) in the upper horizontal toolbar. If you are currently in another record, open the function bar by left-clicking on the   menu at the very top left of the window's title bar.
      Alternatively, click on expand next to the icon and select suche Search.
    2. A search window opens with different search fields depending on the table.
    3. Different types of search fields are offered in each search: Input fields, drop-down menus, date fields and checkboxes.
      Enter your search query and click on suche Searchat the bottom right of the window.
    4. If your search returns hits, a list of all desired records appears. Narrow your search further to reduce the number of records found.
    5. If your search does not yield any hits, click on Change search and check the search criteria. If necessary, remove some criteria, as only those records are found that meet all of the specified criteria.
  • Search by value (matchcode)

    Many database fields allow free input and flexible formats, which can also be found in the search only via free input. Internal standards for creating data records are irreplaceable to facilitate later searches.

    1. Enter one or more search terms in the field Search terms. The database fields that are searched vary depending on the function.
      Note: You can find more detailed information in the tooltip that is displayed when the mouse pointer remains on the field.
    2. More specific free input fields are labelled with the name of the respective field to which they refer.
      Example: "Subject" or "External number"
    3. Search terms do not have to be complete, the beginnings of words will be enough. The search results, however, will be more accurate for complete terms.
      Bsp.: „Wür“ findet Württemberg, Würzner, Würselen etc.
    4. To search for a fragment that occurs in the middle of the word, enter an asterisk "*" as a wildcard.
      Ex: The input "*roy" finds Conroy and Milroy
    5. Suchwörter müssen nicht völlig richtig geschrieben sein. Die phonetische Suche findet auch ähnlich klingende Wörter.
      Bsp.: Die Eingabe „Meier“ findet Meier, Mair und Meyer
  • Filter by date

    For many data records, the search can be narrowed down by date. The time period can be specified in different ways.

    1. Geben Sie die Von- und Bis-Daten frei in die Suchfelder ein.
      Alternatively, open kalender Date selection to the left of the date window and select the date by left-clicking.
      Or select the current date by left-clicking submenu Menucal today Today to the right of the input field.
    2. Verschieben Sie das gewählte Datum über das submenu Menü rechts neben dem Eingabefeld:
      1. by up to six days after delete front or neu rear
      2. by up to four weeks or at Anfang beginning  or Ende end of the selected week
      3. by up to three months or at Anfang beginning  or Ende end of the selected month
      4. by up to three years or at Anfang beginning  or Ende end of the selected year.
    3. Alternatively, you can specify a Datum Auswahl time periodfor the search, which you can move to  or  using the arrows:
      1. one, three or five days from the selected start date
      2. eine, zwei oder drei Wochen ab dem Montag vor dem gewählten Startdatum
      3. one, two or three months from the 1st of the selected month or
      4. one, two or three years from 1 January of the chosen year.
    4. Remove all data by left-clicking on submenu Menu > delete Delete. Deleting the start date also removes the end date and vice versa.
  • Filter by picklist value

    Some fields in the database are entered via selection lists. The type of selection list is decisive for the search as to whether only one or several values from the list can be searched for simultaneously.

    1. Fields that are filled in via fixed selection lists are searched via drop-down lists. Multiple selection of values is possible. 
      Bsp.: Status der Veranstaltung: Option, Warteliste, Definitiv
    2. The search fields appear as grey bars. Left-click on the bar to open the selection list.
    3. Select one value by left-clicking or several values by holding down the Ctrl key and left-clicking and click  Apply.
    4. Alternatively, click on  Select all  and  Apply.
    5. Fields that are entered via a combo box (either freely or via an expandable selection list) appear as a white input field with drop-down triangle.
    6. Enter a value freely or select a value from the expandable selection list by clicking on the triangle. Multiple selection is not possible.
  • Filter by checkbox value

    Use checkboxes to search for records with a given characteristic. If only records with this characteristic are to be searched for, the state of the box  is selected, if exactly these records are not to be searched for, the state  is not selected. If the state  is undefined, then both data records with and without the characteristic are searched for. Examples with module series and multi-day eventsM

    1. By default, checkboxes are usually  undefined. The values of the field are not taken into account for the search.
      Bsp.:  Mehrtagesveranstaltung findet sowohl Eintages- als auch Mehrtagesveranstaltungen.
    2. If the box is selected with a single left click  , only records that have the selected property are searched.
      Example:  Multi-day event only organises multi-day events.
    3. If the box is not selected by left-clicking again  , then records with the selected property are excluded from the search results.
      Bsp.:  Mehrtagesveranstaltung findet keine Mehrtagesveranstaltungen.
    4. With a third left click you restore the status  undefined .
  • Customise your searches

    Searches are often complex and customised. To ensure that the search window remains clear, there are many ways for the user to customise the interface. Users with administrative rights can also specify the settings as the company standard.

    1. Left-click on neu Advanced search at the bottom left of the search window to open further search fields. To return to the simple search, click in the same place on  Simple search.
    2. Each search field can be personalised. Users with administrative rights can also specify the settings as  Company standard .
    3. To the right of each search field you will find a  drop-down menu with user-specific options.
    4. Via edit Start input in this field you specify that the cursor always jumps directly to the selected field when the search is opened.
    5. Via Speichern Favorit Hold values , enter a fixed default value . Alternatively, click directly on to activate the preassignment. If a field is preallocated, it will be displayed for each new search. The preallocated value can be manually overwritten in a search, but will appear again in the next search. To remove the preassignment, click on Speichern Favorit.

    6. With  Determine value via formula you create a preassignment that is recalculated for each search. This option is useful for date fields, for example.
      Example: always search from the first to the last of the current month
    7. Via nur lesen Display you determine whether a search field should appear in the Simple (Fewer fields) or the Advanced search (More fields). Thus you determine yourself which search fields are important or unimportant for you. To reset a field to the manufacturer's setting, select  Standard.
  • Search for records that meet several criteria at the same time ("And")

    Different types of search criteria can be combined to narrow down the search. Only the records that meet each of the specified criteria will be listed in the results list. Each search with several criteria is such an "and" search. If the search does not produce any hits, remove one or more search criteria if necessary.
    Example: "Event" AND "May 2018" AND "Large hall" AND "Waiting list status"

    1. Enter various search terms, dates, editors, etc.
    2. Click on suche Search at the bottom right of the search window.
    3. Only data records that fulfil ALL the specified criteria are found.
  • Search for records that meet at least one of several criteria ("Or")

    Sometimes records need to have only one of several possible characteristics, or criteria are searched for that are even mutually exclusive. To do this, divide the search into two steps.
    Example: "Hotel" OR "Restaurant" in postcode area "69" OR "68"

    1. Geben Sie die erste Suche ein und klicken Sie auf den kleinen Pfeil bei  suche Suchenexpand > suche Neue Suche.
      Example: Addresses with the category "Hotel" in the postcode area 68-69.
      Es erscheint ein neues Suchfenster. Die Anzahl der gefundenen Datensätze (Suchergebnisse) wird unten links im Suchfensters angezeigt.
    2. Remove your original search criteria, enter the new search criteria and click on the dropdown triangle next to expand Show and select Vereinigungsmenge Extend search results.
      The new number of search results is displayed again at the bottom left of the search window.
    3. Repeat the process as often as you like until all search criteria are specified.
    4. Then click on  Show search result.
  • Exclude records that meet certain criteria ("But not")

    To subsequently limit the number of search results, data records can be specifically excluded based on certain criteria. To do this, split the search into two steps.
    Example: Customers in postcode area 68 BUT NOT those who have already received the newsletter

    1. Geben Sie die erste Suche ein und klicken Sie auf den kleinen Pfeil bei suche Suchenexpandsuche Neue Suche.

    3. Repeat the process as often as you like until all search criteria are specified.
    4. Then click on  View.
  • Exclude records that do not meet certain criteria ("But only")

    If the set of search results is to be subsequently restricted, records that do not meet certain criteria can also be excluded. In this way, additional search criteria (and-search) can also be introduced subsequently.
    Bsp.: Kunden im Postleitzahlenbereich 68 ABER NUR die, die schon den Newsletter bekommen haben

    1. Enter the first search and click on suche Searchexpand > suche New search.
      The number of data records found (search results) is displayed at the bottom of the search window.
    2. Entfernen Sie die ersten Suchkriterien, geben Sie die neuen Suchkriterien ein und klicken Sie auf den kleinen Pfeil  Anzeigenexpand > Schnittmenge Schnittmenge zum Suchergebnis.

    4. Then click on  View.
  • Repeat and save searches locally

    Some searches are regularly performed in the same way. To avoid having to reassemble complex searches each time, these searches can be saved and used repeatedly.
    Example: all current customers who have ordered the newsletter but have not yet received it

    1. Click on Historie Last searches at the bottom right of the search window to call up the last searches performed. The list of recent searches is sorted chronologically (descending). Details of the search are displayed as soon as the mouse pointer points to a data record.
      Note: You can specify how many recently opened data records are saved and displayed here at icon optionen Optionsicon optionen Settings > Recently opened data records .
    2. In the drop-down menu, click on  Executeto perform the search again unchanged.
    3. Um die Suchkriterien zu übernehmen, aber geringfügig zu ändern, klicken Sie im Aufklappmenü auf  Neue Suche Eingaben übernehmen.
    4. Wählen Sie für eine Suche  Als Favorit speichern, um zu verhindern, dass eine Suche aus der Liste verschwindet, wenn sie ganz nach unten gerutscht ist. Geben Sie einen Namen für die Suche ein. Favoriten erscheinen ganz oben auf der Verlaufsliste und werden nicht gelöscht.
  • Save searches externally

    To forward a search to another user, save the search steps externally as an SEA file.

    1. Carry out a complex search as described above.
      Note: Do NOT display the search results
    2. Click on the dropdown triangle next to sucheexpand Search and select  Save search steps to save your search criteria on an external data carrier. Make sure to select a speaking name for easy retrieval.
    3. To perform the saved search, open the search window and select suche Search >  Load search steps > suche Show search results.
  • Search for cancellations and lost sales revenue

    The advanced search offer additional fields to search for cancelled events, when and why they were cancelled and the lost sales revenue.

    1. Click on VA Events in the horizontal toolbar to start the lookup process. Alternatively, click on the dropdown triangle next to VA Events expand and select suche Search.
    2. A search window with all relevant search fields for the event will open.
    3. Select the Status "Cancelled" from the drop-down menu.
    4. Open the neu Advanced Search options at the bottom left of the input window.
    5. To search for cancelled events, click on the expander triangle in front of cal arrow M right Cancelled.
    6. Enter your search query and click on suche Search.
