Receiving Emails
Open your Mailbox and go to the
Inbox tab for a list of all incoming emails. Depending on your administrative settings, more tabs are available:
Outbox,
Spam,
Trash and
Sundries.
Click on the Mailbox icon in the quickpicks in the window bar to open your email. If there are new emails in the inbox, the icon is highlighted in yellow. The number of unread emails is shown next to the icon.

- Click on the
Mailbox icon in the quickpicks in the window bar to open your email. If there are any new emails in the inbox, the icon is highlighted in yellow. The number of unread emails is shown next to the icon.
- The
Inbox tab always opens first. The emails are sorted chronologically in descending order.
- New emails are printed in bold and marked as
unread .
- Emails
Attachments are marked by the corresponding icon.
- Emails with a Priority setting are marked by a corresponding icon as
low,
normal or
high priority.

- Sort your emails by sender, subject, priority etc. by clicking on any column heading.
- Left-click one email to see a preview in the bottom half of the window. The preview already contains many editing options (Editing emails in the inbox).
- The
Outbox tab gives you a list of all sent emails in (descending) chronological order. (File emails).
- If you have several possible sender accounts, narrow down the search by selecting one Sender.

date range for which you would like to see sent emails.
- Click on
Including bulk emails to also list all the bulk emails you have sent.
- If you have several possible sender accounts, narrow down the search by selecting one Sender.
- The
Spam tab gives you a list of emails that have been automatically categorised as undesirable and probably spam. They can either be
deleted permanently or moved to the
Inbox if this categorisation was incorrect.
- The
Trash tab hold the emails that you have removed from the
Inbox yourself. Emails on this tab can either be processed further or permanently deleted.
- The
Sundries tab is an unsorted folder for emails that have not yet been assigned to a record for filing.

The email inbox already offers numerous options for editing emails. Further options are available as soon as you double-click an email and open it properly. Some actions can be taken in various places: the toolbar above the list of incoming emails, the toolbar above the preview or the context menu of each email opened by right-click.
- Select an email by left-clicking in the list and select:
Reply with the options "Reply to sender" or "Reply to all"
Emails are automaticallyfiled against a record (account, event, etc.) before a reply is sent. As soon as you click on
Reply , you will be offered the options of either searching for an existing or creating a new record to file under. If the email sender address has already been saved in the database, the correct account will be suggested automatically.
The optionFile w/o account should be reserved for exceptional cases and used very sparingly.
Forward with the options "File and forward" or "Forward directly".
Show conversation history to see any previous exchange of emails and replies.

- Select individual or multiple emails and perform any of the following actions via the top toolbar or the context menu:
Filing (File emails)

- Double-click an email to open or left-click the record and select
Open for more details and further editing options:

Attachments to
Document packages or to
hard drive by selecting the attachment and the option in the small edit window in the top right-hand corner.

- Select an email by left-clicking in the list and select:

The most important reason for filing emails systematically, instead of just letting them sit in the inbox: other users will only able to access the emails and any information they contain if they are saved against a suitable event or account. In addition, email retrieval is slowed down considerably if your inbox is too full. File your emails individually or in bulk and thus remove them from the email inbox for an overall better user experience.
Filed emails disappear from the email inbox entirely and are saved exclusively under the linked record (account, event etc.). Retrieve them through the record's Info Centre under Mail.- Select one or more emails in the email inbox by left-clicking (and holding down the Ctrl key for multiple selection).
- Use the toolbar above the list or right-click and select
File under.
- By default, select
File under and assign the email to an account, an event or another record. If the sender account is already known, the matching record is offered for selection automatically.
- If the sender address is unknown, the option to create a
New
Account on-the-fly will be offered. The sender name and email address are automatically copied into that new account. Copy additional address data (telephone, city) from the email to the clipboard beforehand and paste it into a larger text field in order to then insert it into the correct fields. The account input window will cover up the original email window, which will only reappear once the new account has been saved and closed.
- Select
Confidential filing only if you do not want other users to see the email.
- Select the
Sundries tab only for short-term storing of emails. Emails stored locally on your "Sundries" tab are not visible to other users.
