Writing an internal message

  • Open a new internal message

    Use Internal Messages to communicate with other users or user groups of Bp Event.

    1. Go to the Briefe  Communication tab on the function bar.
    2. Klicken Sie auf den kleinen Pfeil expand neben mail  Interne Nachrichten, und wählen Sie neu Neuanlage und ggf. Ihren Betrieb.
    3. The text tab of the internal message opens.
    4. Alternatively, you can open a new internal message via neu New in the horizontal toolbar of the overview. You can open the overview of received and sent internal messages by clicking on mail in the window title of each data record.
    5. In the horizontal toolbars of many data records, there is also the option of directly creating an internal message linked to the data record.
  • Specify recipients

    Individual users, user groups or distribution lists can be selected as recipients of internal messages.

    1. Open a list of all users and user groups by left-clicking on neu Add at the top of the input field Recipients .
    2. Double-click or left-click and ok Apply to select the desired recipients.
    3. Open a list of all distribution lists created for internal messages by left-clicking on neu Addexpand . Multiple selection is not possible for distribution lists, add several lists one after the other by double-clicking.
    4. Dissolve user groups on request or directly via Gruppe Aufloesen Dissolve group into individual recipients if necessary:
      1. Do not resolve: The message is sent to the group as a unit. As soon as a group member reads the message, it is marked as "read" for all, and deleted for all by deleting it once. This is useful if a message only needs to be received by at least one group member.
        Example: Different members of the banqueting department are assigned to answer the internal messages every week. The other members of the group do not have to deal with these messages.
      2. Dissolve: Each group member is notified as an individual recipient independently of the others. Each recipient only reads and deletes the message for themselves. This ensures that all recipients receive the message as "new".
        Example: All group members should be informed that an event has been cancelled.
    1. To subsequently send an internal message to additional users, open the message in the tab Nachrichten Ausgang Outbox and add additional recipients or recipient groups via neu Add .
      Note: The message itself can no longer be edited in the outbox.
    2. Confirm the query with Send.
  • Send attachments

    Any document that is available in Bp Event or on the hard drive can be sent as an attachment to an internal message. To do this, it must be saved as part of a document package for the message.

    1. On the tab Attachments > neu New attachment open a new document package.
    2. Give the new document package a name.
    3. Select external files from the hard disk via neu Add > import festplatte Files .
    4. Das Explorerfenster Ihres Computers öffnet sich. Wählen Sie das gewünschte Dokument mit Doppelklick einzeln aus, oder markieren Sie mehrere Dokumente mit Linksklick und gedrückter Strg-Taste.
    5. Select an existing document package via neu Add > DokumentenAblage Liste General documents or select several packages by left-clicking and ok Apply them.
    6. save > Speichern Schliessen Save and schclose tab to return to the internal message.
  • Organise internal messages by category

    User-specific categories can be created for internal messages, which can be used to group the messages clearly and make them easier to search for. The categories are available for both incoming and outgoing messages. Categories must be assigned manually, new messages have the status "Without category".

    1. To create a new category, go to mail Internal messagesNachrichten Eingang Input or Nachrichten Ausgang Output , right-click on any line and go to AdressTyping Categoryedit Edit categories.
    2. Add categories in the expandable selection list and confirm with OK.
    3. Alternatively, open a mail Internal message, click on the selection list AdressTyping Without category in the top right-hand corner of the toolbar and select the last option edit Change list.
    4. To assign a category to a message, right-click in the overview or select an existing AdressTyping category from the selection list in the data record. Multiple assignments are not possible.
    5. When opening Nachrichten Eingang Input or Nachrichten Ausgang Output , the filter is set to AdressTyping Without Category by default.
      Note: Select AdressTyping All messagesto display both messages with and without a category.
    6. Um gezielt nach bestimmten Nachrichten zu suchen, wählen Sie in der Mitte der Werkzeugleiste die AdressTyping Kategorie als Filter aus.
  • Send a short survey

    Get a quick picture of your colleagues' opinions by setting up a short survey with predefined answer options.

    1. Open a mail Internal message and click Offene Mengen Survey.
    2. Enter your question and several possible answers in the additional fields that appear.
    3. Use the drop-down list Multiple choice to determine whether only one answer, several answers or also answer options (Yes, No, Maybe) are to be enabled.
    4. The setting Vertraulich Nicht confidential ensures that the responses are only visible to the sender and recipient.
    5. The recipients answer the survey by clicking on the Offene Mengen surveyicon in the message inbox or in the message itself.
