Adding components to a combo item
- Open a new combo item
Components can only be added to an item if the item group settings allow for this. Go to Administration > Settings > Items > Item groups to edit the group settings. You will need administrative rights to do this.
- Go to Items > New and select your company (if applicable).
- Select an item group which allows for components. The new tab Components will appear in the side navigation.
- Go to the new Components tab in the side navigation.
- Enter components of different types
Each item available in the database can be assigned to another item as a component. If the item searched for is not found in the database, you can create a one-off item or a master item on-the-fly. One-off items, subtotals or remarks can also be added as components.
- Go to the Components tab in the side navigation.
- Click on Add > Search item to find and insert an existing item.
- Alternatively, start a matchcode search in the search field by entering the first few letters of an item name and pressing Enter. This will return a list of all items containing this letter string.
- Click on Add > New to create a new master item on-the-fly and add it as a component.
- To create a one-off item only in this one context, click on Add > Item groups.
Ex: unusual buffet component or beverage group - Then enter the name of the one-off item and, when prompted, select the option Do not create.
- Also insert Remarks, Subtotals of different levels and Separator texts as needed.
- Save your input by clicking on the icon in the top left-hand corner of the input window.
- Define conditions for expanding combo items
Combo items can be broken down into the individual sales components (not purchase and production items) in the event. Specify conditions for expanding in the master item.
- Stay on the Components tab in the side navigation.
- Click on the input field for Expand default in the toolbar.
- Select
a) Don't expand > The item will not automatically be expanded when booked
Note: Enable the option Lock combo item in segment to forbid expanding the item within an event.
b) Request confirmation > A confirmation prompt will appear and offer a choice of expanding or not. The prices will be drawn from the combo item.
c) Request confirmation (item prices) > A confirmation prompt will appear and offer a choice of expanding or not. The prices will be drawn from the current prices of the individual items.
d) Always expand > The item will be expanded automatically. The prices from the components are drawn from the combo item.
e) Always expand (item prices) > The item will be expanded automatically. The prices from the components are drawn from the current prices of the individual items.
Note: The prices of combo items are not automatically updated. If you always want the currently valid price of the individual items, select either Request confirmation (item prices) or Always expand (item prices) in the presets. Otherwise, the prices are taken from the combo item, which can result in an unwanted price difference for older items.
- Copy texts and ingredients from the component itemsM
Copy texts and ingredients from the component items to the supplementary text, quote text and menu card text fields of the combo item.
- Stay on the General tab.
- Click on Copy texts right above the input field Supplementary text.
- Decide whether you want to declare the Ingredients in this text.
- Select which of the component item texts you want to copy: the invoice text, the supplementary text or both.
- You can copy the corresponding texts from the component items to the Quote text or Menu text fields with or without the Ingredients.
- For longer texts, click on Enlarge data entry field to show more formatting options.
- Place the cursor in the position you want in the text and click on Ingredients in the toolbar of the input window.
- If there are several components, select which ingredients you want to list in which part of a menu card.
- The ingredients are inserted in the text as abbreviations. The number given is the item number of the referenced item.
Ex.: <dec>8088</dec> - Highlight the text and format as Superscript if you want to.
- Confirm your input by clicking OK in the bottom right-hand corner.
