Setting up Online Table ReservationsM for specific events, days or rooms

While your guests make online bookings, you can see the reservation in real time in the Bp Event table reservation overview. Define which and how many tables can be booked in which time intervals and what size groups can book online. Manage online reservations just the same as other reservations, and using the same templates.

  • Define the rooms and seats available for online bookings

    All rooms and seats that are booked for a table reservations event according to the room plan can also be reserved online unless otherwise indicated. However, both rooms and bookable seats can also be restricted to an exact date.

    1. Go to the Basis Home tab in the function bar and click on tischreservierung Table Reservations, then select a date.
    2. Open the VA Table Reservations event on the left below the date picker. In the VA General tab of the table reservation event, find the Rooms that are available for table reservations.
    3. Go to the details Added fields tab.
    4. In the Rooms bookable online field, enter the codes of the rooms separated by semicolons.
      Example: Online reservations should be possible in the Conservatory and Restaurant, but not in the Beer Garden (CON
      Note: If no room codes are entered, all rooms booked for the table reservation event are made available by default.
    5. To keep a certain number of seats available for walk-in customers or phone reservations, enter that number in the Block seats field. Once all the seats available for online reservation have been reserved, no further requests will be accepted.
  • Define the time slots for online bookings

    The times of the table reservation event also apply to online reservations, unless otherwise specified.

    1. To block a specific time of day for online reservations, enter the start and end of the time NOT authorised for online reservations in the field Block online from or Block online to .
      Example: The table reservation event runs until 24:00, but no online reservations should be possible after 22:00.
    2. To block multiple time periods, use the text field Online block multiple and enter the times separated by semicolons. The possible time periods result from the times set for the table reservation event and the booking intervals.
      Example: The table reservation event runs from 17:00 to 24:00 with booking intervals of 30 minutes, but no online reservations should be possible before 19:00 (
    3. To prevent bookings at very short notice, enter a lead time in hours or days in the Lead time field.
  • Define the group size for online bookings

    Both very large groups and the simultaneous arrival of several smaller groups can be avoided with the appropriate settings.

    1. To limit the group size for individual bookings, enter the maximum party size in the field Maximum bookable persons . If the number is exceeded, the reservation is first sent as an enquiry, which must be confirmed manually, not a firm booking.
    2. To prevent too many guests from arriving at the same time, enter the maximum number of simultaneous arrivals in the field Max. Arrival field.
  • Define the dwell time for online bookings

    The times in the online form cannot be set randomly, but are set at fixed intervals. If multiple Sittings are created in the table reservation event, these can be used for the reservation.

    1. Enter the Cover pacing interval in minutes. The interval corresponds to the times offered in the online form.
      Example: Cover pacing interval 30 minutes: 19:00, 19:30, 20:00, 20:30,...
    2. Enter the minimum and maximum Dwell times. If the minimum dwell time is not available to due to the closing times, no more reservations will be accepted. The maximum dwell time cannot be exceeded.
      Example: With a minimum dwell time of 30 minutes and opening hours until 24:00, reservations are no longer offered after 23:30.
    3. The times of existing Sittings can also be adopted:
      1. as a Preset value, which can also be overwritten with times outside the sitting times, or
      2. as Fixed booking time, which is specified, or
      3. as Flexible booking time, within which the guest can also specify a time.
