Räume

All rooms that are displayed in the room allocation and new event creation have been created by a user with administrative authorisations. Under  Administration >   Rooms new rooms can be created or existing rooms can be changed.

Scope of services:

Each room that is managed via room allocation must be created with at least a name and an abbreviation. Enter a room group and also room capacities to be warned of overbooking when creating a new event. Set-up times prevent set-up and dismantling times from overlapping with a booking. A detailed description of the room and vivid images provide the customer with an initial overview.

Individual rooms can be combined into one large room or have associated technical and service rooms that are automatically booked when the main room is booked. For this purpose, the main room and its sub-rooms are stored so that no accidental overbookings can occur. With booking suggestions or equipment, you can ensure that important details such as a screen, podium etc. are taken into account when booking the room 

A floor plan available as an image file can be inserted into the graphics programme or drawn. If the exact dimensions of the room are known, the floor plan can also be created to scale.

Um die Tischvergabe für Tischreservierungen^M zu aktivieren, müssen außerdem ein Grundriss und Tischpläne^M vorhanden sein.

Mit dem Grafikprogramm kann eine Skizze des Tischplanes erstellt werden. Um einen maßstabsgetreuen Tischplan zu erstellen, müssen Raum und Mobiliar denselben Maßstab verwenden. Wenn im Grundriss ein Maßstab definiert ist, und die eingefügten Objekte einen Maßstab desselben Namens haben, passen sie sich beim Einfügen automatisch in der Größe an. Um für einen Raum die Tischzuweisung aktivieren und Gästen einen bestimmten Platz oder Tisch zuweisen zu können, müssen die Tische eine Nummer oder einen Namen haben.

Tischreservierung^M
To organise table reservations, table reservation events are created that define the possible booking period, sessions, rooms and table plans. This event is then copied to the days on which a table reservation is possible.
Example: Table reservations are permitted from Tuesday to Sunday, but not in February during the company holidays.

Reservations can be entered in the reservation overview and assigned directly to the corresponding tables.  You can always keep an eye on your capacities via the status of the reservations.
