Making a Table ReservationM
- Open the Table Reservations overview
In the reservation overview, the available tables for the selected date and the reservation list are shown on the left-hand side, and the existing reservations are displayed in the main input window. Set a refresh interval in the top left-hand corner by clicking on the expand triangle next to
Refresh view > Auto-refresh.
If the overview shows neither rooms nor tables, no Reservations event has been created for the selected date. Days for which Reservation events have been created are marked in blue in the date picker.Switch to
Touch mode (only in the "Table plan" view") if you want to use a touchscreen. Book and assign tables by tapping.
- Go to the
General tab and click on
Table reservations to open the overview.
Note: An overview of the current date always opens first. Further overviews can be opened by again clicking onTable reservations and selecting
Table reservation.
- Select a date in the Date picker in the top left-hand corner or click on
Current date and time.
- In the line below the calendar, select a Reservation segment and, if applicable, a Sitting. A Reservations event is created by a user with administrative rights (Creating an event for table reservationsM) to define which
Rooms and
Table plans should be available. Sitting times are suggested for the reservation, but can be changed manually. Note: The filters selected on the left-hand side (reservation segment, times) not only affect which tables are shown as available, but also which reservations are listed in the main input window. If, for example, there are several reservations events on one day, all reservations are only really shown as long as none of these events are selected in the list. As soon as exactly one event is selected, only the reservations for that one event will be shown. - The numbers of
Unassigned tables,
Free seats and
Guests without table assignment are shown above the list of available tables on the left.
- Enable the
Show free seats option if you want to be able to assign empty seats at partially occupied tables. This setting affects the number of unassigned seats shown above.
- A list of all available tables will appear in the picklist on the left-hand side, sorted by Room and Table number. Colour codes assigned to table groups/seating areas in the underlying Table plan will be reflected in this list.
- A
List of all existing
Reservations will appear in the main input window on the
All reservations tab.
- Graphic
Table plan or
Timeline views are available for individual
Rooms.
- Go to the
- Assign a table to walk-in customers without prior reservation
Walk-in customers are usually assigned to a table under a prefilled "temporary" name. No proper customer account is needed to enter orders for the reservation. Invoices, however, can only be issued if a regular customer account is linked to the reservation. Walk-ins can be created in a number of different ways.
If the
Reservations overview and the correct reservations segment are already open, the quickest way to book is by clicking on the
Table plan of the
Room you want.
- Right-click a table and select:
Walk-in to open the new reservation and adjust it if necessary.
Walk-in (preset) to save the new reservation with the default settings (number of guests, time) and without opening it at all.
If the
Table reservations overview is closed, go to the
Home tab and click on
Table reservations >
Walk-In.
- Select a reservation segment if there are several at the given time.
- The current time is automatically entered as start time. If you want to apply the preset times instead, select "Default".
- Enter a number of guests.
- As soon as the number of guests has been entered, a list of available tables of a suitable size will show. Double-click a table to assign it to this reservation.
Save the reservation.
If the
Table reservations overview is already open, but maybe shows a different date or time, click on
Walk-Inin the top left-hand corner right above the date picker.
- Select a reservation segment if there are several at the given time.
- The current time is automatically entered as start time. If you want to apply the preset times instead, select "Default".
- Enter a number of guests.
- As soon as the number of guests has been entered, a list of free tables of a suitable size will appear. Double-click a table to assign it to this reservation.
Save the reservation.
- Right-click a table and select:
- Make a reservation and assign a table
Reservations for specific tables can be made in either the
List view, graphic
Table plan or
Timeline view.
- Click on a date in the date picker.
- Select a reservation segment and sitting if applicable.
- Double-click on a table in the picklist to open a new
Reservation.
- Enter the
Time,
Number of guests and other mandatory fields.
- Alternatively, open the graphic
Table plan for the room in question. Right-click a table and
Reserve.
- In the
Timeline view, click on a row (table) and drag the mouse pointer from start time to end time of the reservation, holding down the left mouse button,
- Make a reservation and assign a room
Reservations for specific rooms (but not tables) can be made in the list of available tables in the overview.
- Click on a date in the date picker.
- Select a reservation segment and sitting if applicable.
- Double-click on the room name in the picklist to open a new
Reservation.
- Enter the
Time,
Number of guests and other mandatory fields.
- To block an entire room, click in the first column of the table list in the reservation and select
Block room for exclusive use.
- Make a reservation without room or table assignment
Reservations can also be created without assigning a room or table right away. Tables can always be assigned at a later date.
- Click on a date in the date picker.
- Select a reservation segment and sitting if applicable.
- Left-click on
New reservation above the list of available tables.
- Enter the
Time,
Number of guests and other mandatory fields.
- Allocate free seats at partially occupied tables
Depending on your company settings, tables can be shared and empty seats filled by more than one party.
- Activate
Show free seats above the list of available tables.
- Tables that are not fully occupied will then appear in the table list with the reduced number of seats.
Example: Table 11 (4/8) - In the
Table plan view, a table with free seats will show in yellow, a fully occupied table in red and a table seating multiple parties in orange.
- Activate
- Enter a name for the table reservation
A name is mandatory for table reservation, but this does not necessarily have to be linked to an account. A proper account is only required for invoicing
- Enter a
Name and press the Enter key. To call up an existing
Account entering the first few letters is enough to start the search.
- If a matching
Account is found in the database, double-click on it in the list of results to link it to the reservation.
- If no matching account is available, create a
New account directly from the toolbar of the results list.
- If you want to accept the reservation without creating a proper account,
Close the list of results and select Save as guest account. A Phone number is also mandatory.
- Save your input by clicking on the icon in the top left-hand corner of the input window.

- Lock a table assignment
Not all table assignments are meant to be flexible - some, such as for regular customers, are not supposed to be changed as a rule. To ensure that this does not happen inadvertently, lock the "Release tables" and "Share tables" options offered in the overview. Changes can still be made in the record itself.
- Open the
Reservation.
- In the toolbar above list of the "Reserved tables" window, select
Do not unblock seats/tables. This means that the tables will not be released by clicking on
Release table/room in the overview.
- To reserve a partially occupied table exclusively for one party, click on
Block complete table(s). These tables will not be listed as having free seats.
- To block an entire room for one party, click in the first column of the table list and select
Block whole room.
- Click the icons again to reset to standard.

- Create an order for a table reservation
Depending on your company settings,
Orders can be added to reservations. Use this feature to manage pre-orders for large groups, ensuring faster service and customer satisfaction.
Tickets for public events can also be added here.
Invoices can only be created for items previously booked into an order.
Add tickets
The number of guests cannot be entered manually for ticketed events. Instead, it is determined by the number of tickets ordered.
- In the toolbar of the Order input field at the bottom of the reservation window, click on the
(Event name) button. An input window will open with all the ticket types offered.
- Enter the number of tickets you need per type and confirm by clicking Book.
Example: Medieval Banquet Adult 3 tickets, Medieval Banquet Child 2 tickets - The selected tickets will appear in the list of ordered items.
Order additional items
- Use the search box above the list to find other items to order.
- Some reservations events allow only for the booking of items from a specific menu (Assign a food or drinks menu). In this case, click on
Add >
Select from menu.
Ordered items can be sorted later using drag-and-drop (drag with the left mouse button pressed).
