Using the Digital Signage WebAppM
Transfer event data to fixed or mobile monitors and guide your guests to the right rooms with textual hints and arrows.
The general settings for the WebApp are made by a user with administrative rights. Only the details for individual events can, as a rule, be edited during event organisation.
- Enter custom texts for the occasion and organiser
The texts used for signage default to the regular texts from the "Occasion" and "Organiser" fields. These can, however, be overwritten manually.
- Go to the
Added fields tab of the event and and open the Digital Signage WebApp.
- Enter custom text for the Occasion of the event and Organiser as needed.
Example: The occasion of the event is "Anniversary", but the signage should read: "Celebration of the 50th Anniversary of our ABC Company".
The organiser is John Browne, the signage should read "Browne family and the Board of Directors"

- Change the visibility of the event in the monitors
By default, all room bookings are displayed on all monitors linked to the booked rooms. However, this setting can be overridden in individual cases. Rooms booked exclusively for internal operations (not ticked in the first column of the list of rooms) are never included.

Added fields tab of the event.
- An event can be completely or partially excluded from the digital signage system.
- Disable individual views manually (View 1 (Individual room), View 2 (multiple rooms), e.g. floor, View 3 (all rooms), View 4 (all rooms per event - only with the extended mode!). These settings apply to the whole event.
Example: An event is meant to be shown on the room monitor but not in the entrance area and on the floor monitors > Hide event completely in views 2,3,4.

- Change the preview of upcoming events
The lead time (in hours) of the current day and the preview (in days) for future events as defined in the administrative settings apply by default (Define the lead time and preview options for the display). However, these settings can be overridden in individual cases. Room booked exclusively for internal operations (not ticked in the first column of the list of event rooms) are never included.

Added fields tab of the event.
- Events are listed in the main "Current events" window as of the start time of the event. Enter a Lead time in hours and minutes if you want to show an event at an earlier time. The lead time you enter here overrides the company-specific lead time as defined in the administrative settings. The room view (View 1) will always show the next event, even if it does not start for several hours.
Example: A room should be easy to find for suppliers and early guests two hours before the start of the event -> lead time 02:00 - Subsequent events are shown according to
Company settings (Setting up the Digital Signage WebApp) by default. If you want to hide unrelated upcoming events for one specific event, activate this setting for View 1 (Individual room) and/or view 2 (Multiple rooms). This setting has no effect in view 3 (All rooms). (Group events)
Example: The monitors for the rooms and in that staircase/on that floor should only show the upcoming functions which are part of the current event (wedding, conference). Future bookings for other organisers/events will not be displayed.
The monitor next to Room 11 only displays the presentations of the current conference, the presentations of the next conference on the following day are not displayed.

- Assign an organiser logo
A logo or image of max. 1MB size per event can be displayed in the webapp (JPG, PNG or SVG formats). The logo/image is imported from the organiser
Account.
- Go to the
General tab of the event and open the
Account of the organiser.

Added fields tab and click in Image 1 >
Add. Note: The WebApp only accesses the "Image 1" field, no other images.
- Insert an image either
From clipboard or
From hard drive .

- Copy signage texts from booked monitor locations
In the simple mode of the Digital Signage WebApp, the signage texts are taken from the list of rooms booked for the event.
Important: Please clarify with your Account Manager or administrator whether the simple or extended mode of the WebApp has been agreed on for your company!In this mode, only the entire event can be hidden in the monitors, but not individual rooms. Different labels are possible per room and period, but not per view (room/floor/all). Internal rooms are not included. View 4 (All rooms per VA) is not supported in simple mode.
- Go to the
General tab of the event. At the bottom of the input window you will find the list of booked Rooms, if applicable with custom Times.
- If your company uses the simple version of the Digital Signage WebApp, this table will contain a column labelled Signage.
- Enter the signage text for each room in this column.
Important: If the text is too long, it may be cut off in some views/lists or push the booking times outside of the visible screen area!
Example: Room Berlin - Board meeting; Room Hanover - General Assembly - By default, all rooms are shown during the event times. To enter several texts for the same room for different Times, insert the same room multiple times and enter the custom times.
Example: Room Berlin - 12:00 - 13:30 - Board meeting; Room Berlin - 14:00 - 19:00 - General Assembly - Place the cursor in the field and press F6 to open an enlarged input window with extended formatting options. Breaks and simple formatting (bold, italics, strikethrough) are transferred to the display.

- Copy signage texts from booked monitor locations
In the extended mode of the Digital Signage WebApp, the signage texts are entered in a separate "Signage" order segment. Important: Please clarify with your Account Manager or administrator whether the simple or extended mode of the WebApp has been agreed on for your company!
In this mode, individual monitors can be controlled and rooms can be signposted individually. Internal rooms are not included. View 4 (All rooms per VA) is only supported in extended mode.
- Go to the
General tab of the event. The list of booked Rooms can be found at the bottom of the window, including Custom times if any were entered.
- Right-click on each booked room to display the
Suggested items.
- Go to the
Orders tab of the event and create a new
Order segment called "Signage". The name of the segment does not matter, but it should be meaningful.
- The suggested items from the booked rooms will appear in a floating window at the top of the screen. Tick all the monitor locations you want to copy for each room and click on
Book selected items.
- The selected monitor locations are copied to the segment.
Note: The monitors directly in the room are usually only booked once. All other monitors are added per room - i.e. multiple times.
Example: The monitor in the entrance area "Monitor location entrance" is booked individually for all booked rooms (Room Berlin, Room Hanover, Room Munich). - If your company has not entered any booking suggestions for the event rooms, book the monitor locationsthrough the regular
Item search .
- The
Room from which the suggestion originated is automatically inserted.
Important: If no room is allocated, the information from the monitor booking cannot be assigned correctly and is not shown at all. The room assignment can be changed manually. Make sure that the column "Room" is available in the Booked items view you are using, otherwise the Digital Signage WebApp cannot be used properly. - Enter the text you want for each room in this Remarks column.
Important: If the remarks text is too long, it may be cut off in some views/lists or push the booking times outside of the visible screen area!
Example: Room Berlin - Board meeting; Room Hanover - General Assembly - By default, all rooms are shown at the specified event times. To enter different texts for different Times for the same room, insert the same monitor location for this room several times and enter the custom times.

- Change texts or times at a later date
Depending on the mode used (simple or extended), times or texts for room signage can be edited in either the respective lists of "Event rooms" or "Event items". The changes are applied immediately after saving the event.
- In simple mode (texts from event rooms), go to
Event >
General and the list of rooms. Make changes in the "Signage" column.
- In extended mode (texts from booked monitor locations), change texts in the segment per booked item in the "Comment" column.
- To format the text, place the cursor in the text field in both versions and press F6. An input field with extended formatting options will open. Breaks and simple formatting (bold, italics, strikethrough) are transferred to the display.
Example: The title of the lecture is crossed out and "Cancelled" is inserted in bold after it. - Change times individually in simple mode.
- In extended mode, several times can be changed at once:
- Search for all locations you want and select them while holding down the left mouse button.
- Right-click in the "To" column to open the context menu.
- Select "Change "to time" 3 times" and enter the new time.
Example: Lecture 1 starts at 14:30 instead of 14:10.
- As of version 13.0:
In extended mode, times can be shifted by a specified period of time:- Search for all locations you want and select them while holding down the left mouse button.
- Right-click in the "To" column to open the context menu.
- Select "Shift "To time" 3 times" and enter the number of minutes you would like to shift the times by.
Example: All lectures after the lunch break will start 20 minutes later than planned.
