Setting up the Digital Signage WebAppM
Create monitor locations as items that can be linked to event rooms. Assign the appropriate locations to the bookable rooms and set specifications for the announcement of upcoming events.
- Specify the WebApp mode (Simple or Extended) for each company
For the Digital Signage WebApp, specify whether you want to work with the simple mode (data from the booked rooms) or the extended mode (data from the booked monitor positions) of the WebApp per company.
The Simple mode (data from the booked rooms) allows you to enter texts for event rooms in the room list ("Signage" column) and to enter multiple booking times. However, the text entered is always the same for all views (room, floor, etc.). The monitors in use are determined by the assignment to the booked rooms ( Link rooms and monitor positions).
Example: Room 1 is booked from 12:00 - 14:00 with the signage text "Lunch buffet", from 15:00 - 16:30 with the signage text "Coffee break". In the room list for the event, the room is inserted twice with the respective times and remarks in the "Signage" column. The text entered appears in view 1 (room view at room 1), view 2 (floor view in the corridor) and view 3 (overview in the entrance hall). View 4 (All rooms per event) is not supported for simple mode.The Extended mode (data from the booked monitor positions) allows more flexible control of individual monitors with individual texts as well as the targeted hiding of individual rooms in certain monitors. However, it requires the maintenance of signage data in a separate segment. Make it easier for users to select the correct monitor positions by first assigning monitor positions to rooms in the Equipment and then in the Suggetsed items tabs of the rooms.
Example: the monitors in room 1, on that floor and in the entrance hall are booked in the signage segment. The times and texts 12:00 - 14:00 "Lunch buffet" and 15:00 - 16:30 "Coffee break" appear on the monitor at the room, but only the time and the text 12:00 - 16:30 "Refreshments" for room 1 appear on the other two monitors. The additional View 4 (All rooms per event) shows a summary of all rooms booked for an event (rooms 1, 2 and 7) in extended mode.Important for Multi-Companies:
This mode can be selected per company. However, several companies can only share rooms and monitor positions if the same mode is used! It is not possible to display events from companies with different modes on the same monitor.
Example: Company 1 and 3 use the extended mode and can both use room 11 and the associated room monitor. Company 2 uses simple mode and is therefore not allowed to book room 11 or the associated monitor position.- Go to the
Administration tab and select
Company settings >
Added fields.
- Open the Added fields for the Digital Signage WebApp.
- For simple mode, select the option "from booked rooms" under Display signage text.
- For the extended mode, select the option "from booked monitor positions" under Display signage text.
- Go to the
- Set an update interval
Specify the time interval (mm:ss) at which the monitors should access the server to check the current event data. The shorter the intervals, the faster changes are transferred to the monitors. On the other hand, frequent queries put a strain on the server.
If the server is not available at the time of the query, the display remains on the screen. As soon as a new query is successful, the display is refreshed.
- Enter additional texts per company
Texts can be entered for each company and appear on the screens independently of individual events.
Please note: all information on the fields and their visibility relates to the standard configuration of the WebApp. For customised configurations, more, fewer or other fields may be visible in the WebApp interface.
- Stay on the
Administration tab and go to
Company settings >
Added fields > Signage WebApp.
- In the Header (view 3 and 4) field, enter a text that will be displayed at the top of views 3 (All rooms) and 4 (All rooms per event). If the field is empty, the header will not appear.
For example: Welcome to the International Conference Centre! - In the Footer (All views) field, enter a text that will be displayed at the bottom of all views. If the field is empty, the footer does not appear.
Example: Please note: Staircase 2 is closed until further notice. - Place the cursor in the field and press F6 to open an enlarged input window with extended formatting options. Breaks and simple formatting (bold, italics, strikethrough) are transferred to the display.

- Define lead time and preview options
Set the lead time of current and preview of upcoming events per mode. On vertical monitors , a preview of future events is displayed below the currently running events; on horizontal monitors, it is displayed to the right of the currently running events.
Please note: all information on the fields and their visibility relates to the standard configuration of the WebApp. For customised configurations, more, fewer or other fields may be visible in the WebApp interface.
- Stay on the
Administration tab and go to
Company settings >
Added fields > Signage WebApp.
- In the Lead time in hours:minutes field, enter how long before the start of the actual room booking an event should be displayed as "Current". Use the format hh:mm.
Example: Input "06:00" -> All events are displayed as "current" six hours before the official start in order to better guide suppliers. - Under Preview in days, enter whether and how long in advance future events should be displayed.
- For each view (View 1 - Room, View 2 - Multiple rooms, View 3 - All rooms, View 4 - All rooms per event), select whether you want to use
- no preview
- a preview only for same-day events, or
- want to display a preview for several days (max. 7).
Example: View 1 (single room) - preview only on the same day to avoid occupancy conflicts due to overrunning appointments
View 2 (Multiple rooms/Floor) - preview for 2 days to be able to show complete multi-day events
View 3 (All rooms) - no preview so as not to overload the display
View 4 (All rooms per event) - no preview - Both the lead time and preview options can be partially overridden in the individual events.

- Define a view for the signage segment (extended mode)
If the extended mode of the WebApp is used (signage texts from the booked monitor positions in a separate segment), a corresponding view must be set up.
- Go to the
Administration tab and select
Company settings >
Events >
Booked items.
- Activate Show columns in standard view > Room.
- Select the following columns:
- Start time (for times that differ from the event time (standard))
- End time to (for times that differ from the event time (default))
- Room (mandatory for correct assignment)
- Item name (designation of the item position)
- Item group (optional) (item group "Monitor location" for easier retrieval)
- Remark (for individual signage texts per monitor location, room and booking period)
- Go to the
- Create monitor positions
All monitor locations are first created as items and then linked to the rooms that are to be advertised there.
Note: In multi-companies mode, the positions and rooms must belong to the same company. Only companies that use the Digital Signage WebApp in the same mode (simple or extended) can share rooms and monitor positions.- Go to the
Administration tab and click on
Items to create a new item group "Other" > "Monitor position".
- Record all positions per event location where an information monitor should be located.
- Go to the
Home Tab and click on
Item >
New to create a new monitor position. Assign a descriptive name to make it easier to select the correct location later.
Example: Item "Monitor 1st floor to the right of the lift" in the item group "Monitor position" - Go to the Added field Signage to assign a Standard view (right-hand side of the input window) for that monitor position (View 1 (Single room), View 2 (Multiple rooms), View 3 (All rooms) View 4 (All rooms by event) (Select a suitable view).
This makes it easier to assign views to monitors later on. The standard view can be overwritten in the URL. (Create the URL for a monitor)
Example: for the monitor position "Monitor 1st floor to the right of the lift", view 2 (multiple rooms) - In the added fields for Signage > External content, specify whether and how other content (advertising) should be displayed on the monitor. (Make specifications for the display of external content)
- Repeat (if necessary by
Save and copy) until all monitor positions have been entered. The information on views and external content is also copied, but can be changed later.
For mobile monitors,
Inventory management can be used to ensure that a sufficient number of mobile monitors are always available.
- In this case, allow Components for the
Item group "Monitor position".
- Assign a mobile monitor from the inventory to the item as
Component .

The Digital Signage WebApp offers three standard views: View 1 (single room), View 2 (multiple rooms) and View 3 (all rooms). All views can be set up individually in the administrative settings, web configuration and CSS.
View 4 is only available in extended mode.The following notes on the views refer to the standard configuration.
View 1 (Single room)
The view is optimised for a horizontal monitor on which the bookings for a single room are displayed.- The main window displays either a currently running event or the next upcoming event:
- Date (only for events on days other than the current day)
- Time (Simple mode: from Event > Room > Time, Extended mode: from Event > Segment > Item > Time, if empty from Event > Time)
- Remark (Simple mode: from Event > Room > Signage, Extended mode: from Event > Segment > Item > Remark)
- Event occasion (from Event > Added fields > Signage > Occasion, if empty from Event > General > Occasion)
- Organiser (from Event > Added fields > Signage > Organiser, if empty from Event > General)
- Additional text View 1 (from Event > Added fields > Signage)
- In the top right-hand corner:
- Room name
- current time.
- The organiser's logo (from Event > Organiser account > Added fields > Image 1) will be shown in the bottom right-hand corner .
- The future events in this room appear below the main window in chronological order. If the monitor cannot show all events, the display scrolls horizontally. If there are no events in the preview period, the area will not appear. The following will appear:
- Date (only for events on days other than the current day)
- Time (Simple mode: from Event > Room > Time, Extended mode: from Event > Segment > Item > Time, if empty from Event > Time)
- Event occasion (from Event > Added fields > Signage > Occasion, if empty from Event > General > Occasion)

View 2 (Multiple rooms)
The view is optimised for a horizontal monitor on which the bookings in a group of rooms (floor, staircase, ...) are shown. On vertical monitors, the booking preview shifts from the side to the bottom.
The display is sorted chronologically. One room is displayed per line.- At the top of the screen:
- Name of the room group/floor from Room > Signage > Group/Floor
- Current date and time
- Logo of the location (from Company settings > Images > Logo 1).
- The main part of the window shows all current events in chronological order. If the monitor cannot show all events, the display scrolls vertically. The following items will appear:
- Time (Simple mode: from Event > Room > Time, Extended mode: from Event > Segment > Item > Time, if empty from Event > Time)
- Event occasion (from Event > Added fields > Signage > Occasion, if empty from Event > General > Occasion)
- Organiser (from Event > Added fields > Signage > Organiser, if empty from Event > General)

View 3 (All rooms)
The view is optimised for a vertical monitor, on which the bookings in all rooms of a location are shown (entrance area, foyer, lift, etc.). On vertical monitors, the booking preview moves from the side to the bottom.
The display is sorted chronologically. One room is displayed per line.- At the top of the screen:
- Text from Company settings > Added fields > Digital Signage WebApp > Header (view 3 and 4).
- Current date and time
- Logo of the location (from Company settings > Images > Logo 1).
- The main part of the window shows all current events in chronological order. If the monitor cannot show all events, the display scrolls vertically. The following will appear:

View 4 (All rooms per event)
The view is optimised for a horizontal monitor, on which the bookings in all rooms of a location are shown (entrance area, foyer, lift, etc.). On vertical monitors, the booking preview shifts from the side to the bottom.
The display is sorted chronologically. One event with all booked rooms is displayed per line.
Example: Wedding Myer Fam. in the "Large Salon", "Small Salon" and "Conservatory"Important:
- View 4 is only supported in extended mode and requires a different server address (p.ex. http://{Servername}/Ausschilderung/clientva.html? instead of http://{Servername}/Ausschilderung/client.html?).
- If you want to use View 4 with the guidance system, guidance arrows and information texts MUST be stored in ALL rooms in the room layout (Link rooms and monitor positions). NO remarks may be stored in the room booking suggestions (Add the monitor positions as suggested items (extended mode).
- The remarks and individual times from the signage segment are not shown!
- At the top of the screen:
- Text from Company settings > Added fields > Digital Signage WebApp > Header (view 3 and 4).

- Set specifications for showing external content
If external content (advertising, etc.) is to be displayed on a screen in addition to the events, enter the source of this content and the conditions under which it is to be shown. Both images and videos as well as websites can be displayed.
By default, external content is only displayed if there are no current events to show. To have other content displayed even when events are being announced, enter the display duration and interval.
Note: External content is not supported in view 4.- In the "Monitor position" item, go to the "Signage" area.
- Activate Allow external content.
- Activate the Full-screen if desired.
If full-screen display is selected for external content, the header and footer as well as the event preview are completely covered. - Enter the External source :
- URL: Enter the complete URL.
Example: https://MeineFirma/de/referenzen - Image: Enter the complete file path.
Example: http://8*.2**.1**.1**/Marketing/musterfoto.jpg - Video: Enter the full file path. The video MUST be embedded in an HTML file with the appropriate settings for playback. Please clarify the exact conditions with your customer representative and a web expert.
Example: http://8*.2**.1**.1**/Marketing/indexvideo.html
- URL: Enter the complete URL.
- Enter the Duration in mm:ss. For videos, take into account the length of the content.
- Enter the Interval in mm:ss. The external content is then shown at the specified interval.
Note: If the run-through of all events takes longer than the specified interval, the interval is automatically extended. The run-through of the current events is not interrupted by external content.
- Assign a group/floor to the rooms
The name of the room group (floor, staircase, entrance, ...) to which the rooms belong appears in View 2 (Multiple rooms). This grouping is not identical to the regular room group, but is created exclusively for the Digital Signage WebApp as an added field with default values.
In order for the correct name to appear in view 2, the rooms must be assigned to this group. The rooms are first sorted chronologically, then alphanumerically. The group entered for the top room is shown in the view.
- Go to the
Configurations tab and click on
Added fields >
Rooms.
- In the Group/Floor field, enter all permitted values for floor specifications as default values.
Example: 1st floor, 2nd floor, Loft - Activate Only allow picklist values and
Save your entry.
- Go to the
Administration tab and select
Rooms to open a room. At the bottom of the Base tab of this room, find the Added fields Digital Signage.
- Select the appropriate group for this room in the Group/Floor field. The values cannot be entered here.
- Go to the
- Link rooms and monitor positions
In order to display each room on the correct monitor, the individual rooms must be linked to suitable monitor positions. This is done by assigning the monitor positions to the room as equipment.
Example: Room 11 appears on the monitor on the ground floor next to the stairs and on the room monitor.- Go to the
Administration tab and select
Rooms to open a new or existing
Room.
- Go to the
Equipment tab and click
Add.
- Search by the "Monitor position" item group to find all monitor positions pointing to this room.
- Select a monitor locations in the list and
Confirm to add them to the equipment.
Example: Entrance area next to the stairs, room 11 Save your input by clicking on the icon in the top left-hand corner of the input window.
- Go to the
- Insert information texts
To set up a guidance system, verify the relative positions of rooms and monitors. Provide guidance by using both information text and symbols (arrows etc.).
- Stay in the
Room and click on
Equipment.
- In the Booking information column, add a text in the form "label:{text}" for each monitor position.
- Insert either a symbol and text, or just one of the two. There must be no space between the two, and both parameters must end with a ‘;’. Pay careful attention to the exact syntax!
Example: Room 11 is on the same level to the left, through a dividing door as you face the monitor
Room 11 has an equipment item "Entrance area next to the stairs" with the remark "label:through the dividing door
Room 11 is displayed on the monitor in the entrance area with the text "through the dividinh door".
No information is needed for the equipment item "Room 11" (the monitor next to the room door) as directions make no sense here. Save your input by clicking on the icon in the top left-hand corner of the input window.

- Insert direction arrows
To set up a guidance system, verify the relative positions of rooms and monitors. Provide guidance by using both information text and symbols (arrows etc.).
- The Digital Signage WebApp comes with the following standard arrows:

BpAussApp-arrow_back.svg - If you do not want to use the standard arrows, save other symbols in JPG, PNG or SVG format (max. 1MB) in the
Gallery. Use a fixed group name in category 1 (p.ex. "Arrows for signage"). Give the image a unique, descriptive name ("signage arrow right orange").
- Go to the
Room and open the
Equipment tab.
- In the Booking information column per monitor position, add a symbol from the
Gallery in the form "gallery:{image name for directional arrow}".
Important: The name must correspond exactly to the name in the gallery no additional spaces may be inserted. - Insert either a symbol and text, or just one of the two. There must be no space between the two, and both parameters must end with a ‘;’. Pay careful attention to the exact syntax!
Example: Room 11 is on the same level to the left, through a dividing door as you face the monitor
Room 11 has the following in the equipment item "Entrance area next to the stairs" the remark
"gallery:arrow-left.svglabel:through the dividing door
Room 11 is displayed on the monitor in the entrance area with an arrow pointing to the left and the text "through the dividing door".
No information is needed for the equipment item "Room 11" (the monitor next to the room door) as directions make no sense here. - Extended mode: If you want to use view 4 in extended mode, enter notes/arrows either for all rooms or for no room. Different entries may distort the view.
Save your input by clicking on the icon in the top left-hand corner of the input window.
- The Digital Signage WebApp comes with the following standard arrows:
- Add monitor positions as suggested items (advanced mode)
In the extended mode of the WebApp, the monitor positions are not set automatically, but booked individually. This allows for more flexible use, but tends to look overwhelming.
Make it easier for users to select monitors in the signage segment by also adding the monitor positions as
Suggested items . They will then appear automatically as a suggested items when the respective room is booked and can easily be inserted in the signage segment.
- Go to the
Suggested items tab and click
Add.
- Search by the "Monitor position" item group to find all monitor positions pointing to this room.
- Select a monitor location in the list and
Confirm to add them to the suggested items.
Example: Entrance area next to the stairs, room 11 - Tick the standard positions so that you can apply them later with a single click.
Save your input by clicking on the icon in the top left-hand corner of the input window.
Important: Do NOT enter any text or arrows in the suggested items! Duplicate or inconsistent information in suggested items and equipment can cause problems in the browser display.
- Go to the
- Create the URL for a monitor
The URL determines which data is displayed on a monitor. Start a monitor and assign a URL in which all important parameters (linked with "&") are specified:
- Server (where the data comes from)
- Company (that owns the data )
- View (Single room/Multiple rooms/All rooms) (Select a suitable view)
- Monitor position (where the monitor is located)
Example: http://{Servername}/Ausschilderung/client.html?betriebsnr=1&modus=Sicht3&monitorposition=8172
- Enter the name of the Server used to run the WebApp.
E.g.: http://{servername}/Ausschilderung/client.html? (for views 1-3)
or http://{servername}/Ausschilderung/clientva.html? (for view 4) - Enter the data record number of the Company . The Digital Signage WebApp will show all bookings in rooms that are assigned to this company.
Example: betriebsnr=1 for the company "Graf Gastro" - Select a View for the monitor.
Four standard views are available: 1 - Single room, 2 - Multiple rooms, 3 - All rooms, 4 - All rooms grouped by event. Customised configurations are possible. View 4 is only supported in extended mode and requires the above server address (.../clientva.html)
Example: mode=view2 for a floor view - Enter the item number of the Monitor position. If you enter the URL of the Digital Signage WebApp without specifying that position, a dialogue box opens for entering the number. The item number of the monitor position can be found at the top right of the individual item or in a data maintenance list.
If a standard view has been specified in the monitor position, a warning is issued as soon as a different view is selected. The setting can be overridden manually.
Example: monitorposition=8172 for the monitor located next to the staircase on the ground floor -
Only the events of the current day are shown in the screen. To check the texts and icons relating to an event beforehand, add a date in the format "vadatumvon=TT.MM.YYYY" to the URL between the mode and monitor position.
Note: The preview time is limited by the number of days specified underCompany settings >
Added fields > Signage > Preview in days. By default, a maximum of 7 days can be set, but this can be changed in the configuration.
