Using Reservation ListsM
- Create a new reservation list
New bookings for public events are made on
Reservation listsM, which are created as
Order segments in the event. The reservations can have physical or digital admission tickets and can be linked to table reservations. Bookings can be entered either in the event itself, as a
Table reservationM and/or as a
Ticket reservationM.
- Left-click the
Orders folder to open the list of orders.
- Click on
Add and select
New reservation segment.
- Give the list a meaningful Name, especially if there are several lists within an event.
- For some events, a list of names is all that is needed, with no physical or digital admission tickets generated. In this case, select
No tickets in the toolbar.
- If actual tickets are needed, select the tickets you want from the picklist. The list cannot be edited in the event context. TicketsM have to be created in advance (Creating tickets for public events)
- To enable the actual printing or sending of admission tickets, open the same picklist again and select
Admission tickets - the option only becomes visible once tickets have been selected. Admission tickets can only be generated if they are enabled here (bold print).
- Enter the minimum and maximum Number of guest for more control over ticket sales A warning will be issued if the number of guests for a ticketed event falls below or exceeds the limit.
- Activate
Assign tables if you intend to allocate tables to reservations.
Note: Table allocation can only be activated on condition that a room has been booked for the event for which there is aTable plan with table numbers. Once the event as a whole is transferred to Table reservations, seats and tables can no longer be assigned here. (Reserve seats for an event in a table reservations list).
- By activation
List in table/ticket reservations, you will enable staff with access only to the reservation overviews (
Table reservations and
Ticketing) to accept reservations. The reservation list is only available in the table reservation if table assignment is active as well.
- Left-click the
- Create a new reservation
For each new guest booking, create a new reservation in the
Reservation list. If the list is also shown in
Table reservations or
Ticket Reservations, new reservations can also be made there.
- Open the
Reservation list in the
Event, in
Ticket Reservations or in
Table Reservations.
- Click on
New in the toolbar to open a new
Reservation.
- Enter the guest's name and other contact details.
- For events without tickets, enter the number of guests in the top right-hand corner.
- For ticketed events, the number of guests is determined by the number of tickets booked and therefore cannot be entered freely. Left-click on
<Ticket name> in the lower part of the input window to open a dialogue box.
- Enter the required number of tickets and confirm by clicking Book.
- If table assignment has been activated, assign tables from the right-hand column of available tables either immediately or later.
- Open the
- Print or send tickets
Admission tickets for public events can be printed with an ID and QR code or sent by e-mail.
- Activate the
Admission tickets option for the event:
- either in the toolbar of the
Reservation list by right-clicking on
<Ticket name> and selecting
Admission tickets
- or in the linked
Ticketing item (Ticketed event) on the
Ticket Resaervations tab, by selecting the option Print admission tickets.
- either in the toolbar of the
- If the table assigment is active, tables and/or seats MUST be allocated first.
- In the
Reservation, click on
Admission tickets in the side navigation.
- If no individual seats are assigned, simply select
Add to create admission ticktes.
- If individual seats are allocated but the exact distribution of guests is not important, select
Add all.
- To assign tickets (child, adult) specifically to individual tables, select the table and the number of seats for tickets of one type (discounted, with restricted view, etc.) in the picklist.
Print or
Email the tickets using a suitable template. The print command always refers to all tickets in the booking.
- As soon as the admission tickets have been printed or sent, the status changes from "New" to "Issued" and the cards can only be cancelled, not deleted any more.
- To print tickets for multiple reservations on a reservation list, open the list itself and, in the toolbar, click on
Related lists >
Attendee list.
- Click on Select action and apply to list, then select Print tickets or Send tickets by email.
Note: If table assignment is active, tables MUST be allocated first.
