Filing External DocumentsM

  • Create a document package under Shared Documents

    External documents are saved in document packages either individually or grouped by topic. The ‘Shared Documents’ filing location is available for documents such as Terms and Conditions, maps and directions, or price lists that are needed repeatedly by all staff members. All document packages that do not explicitly belong to a single record (accounts, events, etc.) should be saved here.

    1. Go to the icon vorlagen Templates tab and select Dokumentenablage Documents > neu New to open a new document package.
    2. Give the document package a meaningful name.
    3. Choose an Owner from the picklist and define which users or user groups should have Reading rights for the document package.
    4. Click on neu Add > import festplatte Files to select external documents from the hard drive or similar. Multi-select is available.
      Alternatively, documents can be inserted using drag-and-drop. Drag the selected documents to the input window and release the left mouse button.
    5. Click on neu Add> Dokumentenablage Shared documents to copy or move existing documents.
    6. Speichern Save your changes. The new document package is automatically saved to the "Shared documents" folder.
  • Create a document package for an existing record

    External documents linked to a specific record are saved there. Depending on the type of record, new packages are created in different ways.

    1. Go to the VA Event and click on Neu Aus New > Dokumentenablage Document package in the toolbar. Existing document packages are listed in the side navigation under infocenter Info Center if the Datenbank Data source Dokumentenablage Documents is active.
    2. Go to the Adresse Account and click on Adresse New > Dokumentenablage Document package in the toolbar. Existing document packages are listed in the side navigation under infocenter Info Center if the Datenbank Data source Dokumentenablage Documents is active.
    3. For new (outgoing) E Mail Emails, Neu Aus Add  external import festplatte Files on the Anhang Attachments tab.
    4. For new (outgoing) mail Internal messages, mail Add  external mail Files on the Anhang Attachments tab.
    5. Dokumentenablage Document packages can also be found either on separate tabs or in the side navigation in artikel Items, projekt Projects and termine Appointments, inszenarienverwaltung Scenarios and Ereigniskalender Holidays/Special Events.
    6. Speichern Save your input by clicking on the icon in the top left-hand corner of the input window. The document package will automatically be filed under the record it was created for.
  • Copy documents from one document package to another

    External documents that are already saved in a document package can be copied into other packages.

    1. Open the existing Dokumentenablage Document package. All further steps refer to this open input window.
    2. Select individual documents for copying by left-clicking while holding down the Shift key for multi-select.
    3. Copy to another package by clicking on the expand triangle next to Kopieaufklappen v2Copy, then select DokumentenAblage Liste Copy to other package.
    4. If the existing document package is linked to a record (account, event, etc.), the system will offer to create a new package for this linked record.
    5. Create a completely new package by selecting neu New document package. No filing location is linked yet.
    6. Click on Verknuepfen Link to other record in the toolbar to search for the table and record you want.
    7. Click on suche Search for document package to copy the document into an existing package.
    8. The search will default to Shared documents as filing location. Open the picklist by left-clicking to select one or more other folders.
    9. Select the package you want on the list and ok Confirm.
    10. save Save your changes.
  • Insert documents from one document package into another

    External documents can be copied from other document packages.

    1. Open a new Dokumentenablage Document package.
    2. Open the Dokumentenablage Shared documents folder by clicking on neu Add> Dokumentenablage Shared documents in the horizontal toolbar.
    3. In the item text box, highlight the text you want to translate and click on ok Dictionary.
    4. Open the search for all documents and files by left-clicking on suche Search in the toolbar of the document list.
    5. The default search location is "Shared Documents". Click on the drop-down list to search in other filing locations.
      1. If you know the filing location of the document, select the table (Accounts, Events, etc.) you want.
      2. If you do not know the location, click on SelectAll Select all and ok Confirm.
      3. If you are looking for an inactive document package, select SelectNone Discard selection and ok Confirm.
    6. Enter the name of the package in the search field Name.
    7. Enter the name of the document in the search field Included document.
    8. Click on suche Search and select the document you want from the list of search results.
    9. save Save your changes.
  • Copy an entire document package to another record

    Packages with external documents that have already been filed with one record can be copied in their entirety into other records, provided that more than one document package is allowed in these contexts (e.g. for accounts, items, events).

    1. Open the existing Dokumentenablage Document package. All further steps refer to this open input window.
    2. Click onSpeichern > Kopie Save and copy in the original document package (account, event etc.).
      Note: Unless you copy the document package before changing the link, the package will disappear from the original record.
    3. Click on the dropdown triangle next to the linked record to select another record of the same type (account, event etc.) and Select.
    4. Link the package to a record in another table by first selecting Entfernen Delete assignment, then clicking on Verknuepfen Link to other record.
    5. Select the table and record you want and Speichern Save your input.
  • Update documents in document packages

    Many existing document packages need to be updated regularly. To avoid having to delete and reinsert the documents each time, they can simply be reloaded, provided that the name of the document remains the same.

    1. Open an existing Dokumentenablage Document package.
    2. Click to select a document in the Document list.
      1. If the document has already been updated externally, click on edit Open > import festplatte Reload from disk in the toolbar.
      2. If the document has not yet been edited, click on edit Open > edit Open and make the changes you want.
      3. save Save the document and select Confirm changes when prompted.
    3. save Save and close the Dokumentenablage Document package.
  • Save email attachments as Shared Documents in a document package

    External documents that you receive as email attachments can be filed in document packages. Documents that are generally accessible and should not be linked to a specific record are filed in the "Shared documents" folder.

    1. Double-click the email to open. It is not possible to file attachments from the preview.
    2. In the small pane in the upper right-hand corner, select the documents by left-click, holding down the Shift key for multi-select.
    3. Click on Dokumentenablage File in document package in the toolbar of the small pane.
    4. Select neu New document package to create a completely new package.
    5. Enter the Name of the document package and other fields (Create a document package as a Shared document).
    6. save Save your changes.
  • Save email attachments in a document package linked to a record

    Email attachments can be saved to a document package linked to a record (Account, Event, AppointmentM etc.).

    Save the attachment to an existing document package:

    1. Double-click the email to open. It is not possible to file attachments from the preview.
    2. In the small pane in the upper right-hand corner, select the documents by left-click, holding down the Shift key for multi-select.
    3. Click on Dokumentenablage File in document package in the toolbar of the small pane.
    4. Select suche Search for document package.
    5. In the search window, select in one or more Filing locations.
    6. save Save your changes.

    Create a new document package with a link to a record:

    1. Link the email to an existing record by clicking Mail ablegen File in the toolbar.
      E.g.: Account, Event, Appointment
    2. Open the Email when prompted and go to the Anhang Attachments tab.
    3. In the small pane in the upper right-hand corner, select the documents by left-click, holding down the Shift key for multi-select.
    4. Click on Dokumentenablage File in document package in the toolbar of the small pane.
    5. The first option offered is to file under the linked account (Event, Appointment) by clicking neu New.
    6. save Save your changes.
  • Save email attachments externally

    External documents received as email attachments can be stored externally on the hard drive.

    1. Double-click the email to open. It is not possible to file attachments from the preview.
    2. In the small pane in the upper right-hand corner, select the documents by left-click, holding down the Shift key for multi-select.
    3. Click on export festplatte Save to disk in the toolbar of the small pane.
    4. Your Explorer window will open. Select a filing location and save.
  • Search for documents or document packages

    External documents that have been filed in a document package can be searched for using the name of the document, the name of the document package or the filing location.

    1. Go to the icon vorlagen Templates tab and left-click on Dokumentenablage Documents .
    2. The default search location is "Shared Documents". Click on the drop-down list to search in other filing locations.
      1. If you know the filing location of the document, select the table (Accounts, Events, etc.) you want.
      2. If you do not know the location, click on SelectAll Select all and ok Confirm.
      3. If you are looking for an inactive document package, select SelectNone Discard selection and ok Confirm.
    3. Enter the name of the package in the search field Name.
    4. Enter the name of the document in the search field Included document.
    5. Click on suche Search and select the document you want from the list of results. Open your Historie Recent searches to call up and/or modify recent search requests (Searching for ...)

Creating Foreign Language CorrespondenceM

  • Assign a foreign language to an account or contact person

    Different languages can be specified for both oral and written contact with either an account or selected contact persons. That language will then be preset for new mails automatically.

    1. Open the Adresse Account and go to the Adresse General tab, then select a Language other than the standard language for that account.
    2. Enter a different language for a contact person under Adresse Account > Ansprechpartner Contact person.
    3. The suggested oral and written salutations will change automatically.
    4. If you have the "Translations"M module, you will be able to enter foreign language mail templates. Appropriate templates with matching cover letters and attachments will be automatically offered for any correspondence with accounts or contact persons with a non-standard language.
  • Assign a foreign language to letters or emails

    Letters or emails can be assigned a foreign language regardless of the language of the addressee.

    1. Open a new Briefe Mail from the function bar or from another record.
    2. If the foreign language is not already preset based on the account, select a Briefe Dictionary in the centre of the toolbar of the Briefe Text tab.
    3. vorlage brief Text templates and Anhang Attachments will automatically be suggested in that language, provided that a version has been entered.
      Note: If no translation has been entered, the original language text will be called up.
    4. When prompted for attachments, select either All, None, or Select.
    5. If you are not using a vorlage brief Text template with translation, insert your own text into the letter or email based on the uebersetzen Dictionary.
  • Insert translations into text documents

    Translate only real text in the text templates, not database references. Item texts or other texts that originate from database references should be added to the respective items or templates (Create foreign-language item texts).

    1. Display the bezug 4D expressions in a text document to distinguish between database references and pure text (prior to Version 12.1: on the toolbar of the Briefe Text tab).
    2. A uebersetzen Dictionary matching the selected language will automatically appear in the toolbar (prior to Version 12.1: select first).
    3. Highlight the text you want to translate and click on uebersetzen Dictionary.
    4. In the field Translation text , mark the word or compound term for which you need a translation suggestion, or enter the term directly in the field Search words .
    5. Double-click to select the best of the suggested translations or enter New New translation.
    6. save Save your input by clicking on the icon in the top left-hand corner of the input window.
  • Insert dictionary references in text documents

    Translations can also be entered as references to your own dictionary. If the approved translation of an original text changes, it is not necessary to correct each translation individually, but only the entry in the dictionary. References are particularly suitable for templates, but can also be used in text documents.

    1. Show the bezug 4D expressions in a text document to distinguish between database references and pure text (prior to Version 12.1: on the toolbar of the Briefe Text tab).
    2. A uebersetzen Dictionary matching the selected language will automatically appear in the toolbar (prior to Version 12.1: select first).
    3. Highlight the text you want to translate and click on uebersetzen Dictionary > Bezuege einfuegen Replace with dictionary reference.
    4. To ensure that the translation is capitalised at the beginning of the sentence, select Bezuege einfuegen Dictionary reference (first letter upper case).
    5. save Save your input by clicking on the icon in the top left-hand corner of the input window.
  • Create new translations

    New translations can be added with the appropriate authorisation both directly in the dictionary and during the translation itself. The languages offered are defined by a user with administrative rights on the Administration Administration tab under Sprache Languages.

    Enter new translations in the dictionary

    1. Go to the Einrichtung Configurations tab and select uebersetzenexpand Translations > uebersetzen  Dictionary and the language in question.
    2. Enter your Search terms in the original language.
    3. Click on neu  New to enter a new translation. In the comments fields, enter information such as the exact context of use or the source of the translation. Your own translations are labelled with a star.
    4. Translations can be entered for individual words, compound terms or phrases.
    5. Close by clicking Save.

    Enter new translations from texts or text templates

    1. Go to the Vorlagen Templates tab on the function bar and click on vorlage brief Text templates to select a template or to open a Briefe Text document.
    2. Select a uebersetzen Language in the centre of the toolbar.
    3. Highlight the text you want to translate and click on uebersetzen Language > uebersetzen Dictionary.
    4. Double-click the text in the "Translation text" field.
    5. Add your own translation as neu New translation.

    Enter new translations in the item text fields

    1. Go to the Basis Home tab on the function bar and click on artikel Items to find the item you want.
    2. Select a Language for the customer above the item texts.
    3. In the item text box, highlight the text you want to translate and click on uebersetzen Dictionary.
    4. Double-click the text in the "Translation text" field.
    5. Add your own translation as neu New translation.
  • Export and import translations

    Import or export lists of translations in CSV format.

    1. Go to the Einrichtung Configurations tab, then select uebersetzenexpand Translations > uebersetzen Dictionary and select the target language.
    2. Click on export festplatte Save translations from your own dictionary to your hard drive and select an external filing location.
    3. Open the CSV file, then edit and save the data.
    4. In the dictionary, click on import festplatte Load translations from the hard drive into your own dictionary and select the external file.
    5. New and edited entries will be input as new entries.
    6. deleteDelete obsolete translation from the list.
