Avoiding data overload
- Delete data in the system and job log manually
So-called system and job log data is created in the background, which is used for troubleshooting and error prevention. These log files should be cleaned up at regular intervals.
- To clean up the system and job log once, go to the
Administration tab in the function bar and select
Settings >
Log settings.
- Enter the retention period in days in the Delete log files fields
Recommendation: 42 days - Click on Delete log files. The system/job log data is automatically deleted before the specified time range.

The system and job log can be cleaned up automatically at a specified time using a job. Please contact the Bp Event Hotline or your Account manager in advance.
- Go to the
Configurations tab and select
Jobs >
New.
- Enter a unique Name and a Title for the job.
- Select "Clean up system and job log" as the job Type.
- Select "After execution" as the Start time/condition.
- Click on
Predecessor job and select the job Data backup from the list.
Note: The job starts after the data backup. This way you can be sure that no user is logged on at the time and that several jobs are not started at the same time. Save your input by clicking on the icon in the top left-hand corner of the input window.
- Go to the
- Delete change logs
Every new record or change to records is logged in Bp Event. These changes can be called up in the individual records. The respective log files should also be cleaned up at regular intervals.
Please contact the Bp Event Hotline or your Account manager before using this feature for the first time.
- To clean up the change log, go to the
Administration tabin the function bar and select
Settings >
Log settings.
- Under Clear user actions logs manually, tick the boxes for the log data you want to delete.
- Enter an Up to and including date for which the logs should be deleted.
- Click on Clear user actions.
- A picklist of tables will appear. Select the tables for which the logs should be deleted or just
Confirm for all tables.
- Confirm the prompt by clicking Delete.
- To clean up the change log, go to the
- Delete old invoices
Old invoices can be removed from Bp Event after the legally prescribed retention period. Create a job for this purpose.
Contact your tax advisor or accounting department before deleting invoices.
- Go to the
Configurations tab and select
Jobs >
New.
- Enter a unique Name and a Title for the job.
- Select "Delete data - Event" as the job type.
- Select "After execution" as the Start time/condition.
- Click on
Predecessor job and select Clean up system job log. If this job does not exist, select the predecessor job Data backup from the list.
Note: The new job starts automatically after the previous job. This means you can be sure that no user is logged in at the time and that multiple jobs do not start at the same time. - Tick Delete spreadsheets for events after deletion period (in years) and enter the number of years as a figure.
Save your input by clicking on the icon in the top left-hand corner of the input window.
