Setting up the shift plannerM

  • Define the standard behaviour in the shift (planner)

    There are administrative settings for both the Dienstplaner Shift planner (an overview of all shifts) and the individual dienst Shifts.

    1. Go to the Administration Administration tab and select Administration Settings > VA Events > personal Shifts and Staff.
    2. Activate Appointments as a data source in the shift planner to include appointments in the shift planning considerations.
    3. Activate Do not delete remaining availability if you first create a general availability (availability for work) for your staff before entering the actual shifts. By default, an "available" shift is completely deleted as soon as an "on duty" shift is entered for the same day.
      Example: The staff member is available from 8am to 6pm, the new shift is from 8am to 2pm. By default, the "available" shift from 2pm - 6pm is cancelled. If the option is activated, the "available" shift is retained.
    4. Specify how many days after the fact a Recurring shift may be created.
    5. Activate Show staff confirmation in shift to show the icon Ansprechpartner Mann in the individual shift. This can be used to document a confirmation.
  • Set default values and rules for staff planner and shifts
    1. Staff segments are converted to inhouse planning segments for staff purchasing or planning. Set a prefix here that is automatically assigned to the in-house segment.
      Example: "In-house:"
    2. Define rules and formulas for the shift planner and the individual shifts:
      1. Show eventss in shift planner: Display rule for selecting events to be shown in the shift planner
      2. Save shift: Authorisation rule for saving a shift
        Determines p.ex. authorised users or user groups, possible times or other conditions for the creation or modification of shifts
      3. Calculate breaks: Calculation rule for break times during the shift
        Determines the legal and operational requirements for the automatic calculation of break times in relation to the planned shift time
      4. Change breaks: Authorisation rule for changing break times in shift
        Determines p.ex. authorised users or user groups, possible times or other conditions for subsequent changes to planned break times
  • Create shift categories

    Create any number of subcategories for each of the predefined shift categories. The top categories have already been assigned a colour value, but this can be changed. The colours are reflected in the shift planner and in the shift itself.

    1. In the top category, click on neu Add and give the new subcategory a name.
    2. Assign a Farbe Colour value by clicking in the first column of this subcategory.
    3. To change the colour of the top category, click on the button in the toolbar of this category.
    4. To remove a colour code, double-click on the colour field.
    5. Some categories can be completely suppressed using the button Hide .
