Configuring a list in text processing
The contents of a list can be formatted and prepared for various output options on the Text document tab.
The text document consists of a header, the body and a footer.
- The header is printed as the first line of the list, respecting text formatting and tabs. Column references are usually not inserted in the header, but in the body section and in the footer.
- The body part is the repetition area that is inserted for each data row in the table. Formatting is respected here as well and column references can be inserted.
- The footer is intended for totals, e.g. for calculating totals and VAT in the spreadsheet. Column references can be inserted.
- Insert references into a text processing document
- Create a new list and insert all relevant references and formulas as needed.
Note: If the database references have similar names, change the description in the Header column for better readability. If you use the "Alias" column, you can recognise the column references even better in word processing and in formulas. - Select "Output list" or "Branded Prints" M in the Use for field.
- Go to the
Text document tab of the list.
- Click on
Insert database reference and select
Insert fields to see the column references from the list General tab.
- Select one or more references from the drop-down list by holding down the Ctrl key and
Confirm your selection.
- Format the references, set tabs and breaks and add text (e.g. labelling the fields). The formatting set here is applied to the text documents.
Save your input by clicking on the icon in the top left-hand corner of the input window.
- Create a new list and insert all relevant references and formulas as needed.
- Define the format of bookmarks in lists
Use
Bookmarks to assign names to certain areas in text documents. These can then be used to define different output formats for data lines in the list. Enter column-specific formats such as font type and size, displayed references, table layout or tabs in lists. Define the bookmarks in the
List on the
Text document tab.
Example: Format booked items such as drinks, food or service items line by line depending on their item group: Drinks left-aligned without quantity but with unit price, food centred without quantity, staff left-aligned with quantity, times and prices.- Open the list either by clicking on
Configurations >
Lists/Reports or by right-clicking on the list name in a
Text template and selecting
Open list.
Example: the list "Booked items Quote 1" - In the list, go to the
Text document tab.
- Format the text and select an entire paragraph up to and including the paragraph marker (
) of the following line. Click on
Show hidden characters in the toolbar to see the paragraph marker.
- Click on
Bookmark >
Add selection and assign a speaking name.
- Repeat the process for all the texts in this list.
Note: For data lines without bookmarks, the entire text area with the exception of the header and footer will be used. - Click on
Bookmark >
"Name of bookmark" >
Show text area to highlight all texts with this bookmark and verify if the formatting has been assigned correctly.
- Open the list either by clicking on
- Assign bookmarks to the data rows in the list
Set formatting per data row/column using a formula in the
list.
- Go to the
General tab in the list.
- Click on
Add >
Bookmark in text processing to insert a new formula.
- Double-click to open the formula and select, for example, the function "Text > Enumerate conditions (text)".
- Enter the name of the default bookmark as the "Else value". If one bookmark is set in a list, all text must be formatted using bookmarks. Items for which no bookmark is defined are automatically assigned the "Other value".
Example: "Standard" - Enter one or more conditions and the name of the bookmark you want as value.
Example: All items in the item group sharing the External 2 name "Foods (External 2 is usually used for top groups)" should be formatted according to the settings for the "Foods" bookmark. The "Foods" bookmark is formatted as right-aligned, font Arial, font size 11pt.

Result: All items in the groups that have the name External 2 "Foods" (main dishes, side dishes, soups etc.) are formatted right-aligned and in Arial font, size 11pt. - Add further bookmarks, check and confirm the formula by clicking OK.
