Using AI support in Bp Event
Bp Event 12.2 allows the integration of AI services based on an interface that was defined by OpenAI and is supported by many providers. The AI systems integrated in this way support the editing of texts in all text fields as well as in word processing documents (letters, emails, quotations, etc.).
By providing general background information on the company, the user and specific background information on the records being processed (e.g. event data and details, account data and to-dos), even very short and simple questions (prompts) to the AI provide useful answers. These queries can concern, for example, phrasing, grammar checks or translations.
Note: In Bp Event 12.2, the focus is on phrasing support; functions such as creating or editing data records, creating formulas or lists etc. are not part of the functional scope of Bp Event 12.2.
- Start a contextual enquiry to the AI
As soon as AI support is set up in Bp Event, the new icon
Open AI support appears in every toolbar, text field and word processing document.- In an (already filled) text field in a data record, click on
in the top right-hand corner.
Example: Agreement text field in the event - Select a
AI prompt or select "Without template".
Note: AI prompts are time-saving, frequently recurring questions to the AI that are created as text blocks. - The input window for AI text editing opens.
In the left half of the input window, the enlarged edit window is filled with the text already entered. - Alternatively, enlarge the text field by clicking
and then click on
in the toolbar. In this case, you will find the
AI prompts in the question area at the bottom right. - The text field at the bottom right is the question area. Either enter your own question/instruction or select a pre-formulated prompt by clicking
Insert AI prompt. In the same place, select the
Text reference to which the instruction should refer (text in the edit window or selected text either in the edit window or in the chat itself). - Click on

Freeze to release text references before sending the request. Otherwise, the reference are only released when the prompt is sent to the AI. - Click on
Ask AI to start the enquiry. Both the enquiry and the result appear in the chat history (text field top right). - Complete and repeat the questions until you are happy with the result. To do this, select the text passage you want and enter a
Text reference (text in the editing window or selected text either in the editing window or in the chat itself).

- Apply the result of the AI enquiry
If the result of the AI enquiry meets your requirements, copy it to the edit window.
- Select the text you want in the chat history and right-click to open the context menu.

- For longer chat histories, click on
Show organised chat history to jump directly to individual questions. - To delete the entire chat history or individual questions, click on
Delete in the toolbar.
- Send an enquiry that is not linked to an input field
AI requests can also be made without being linked to a text field. You will find the
AI icon on the right-hand side of each window title. The context of the data record remains unchanged. The request is only context-free in overview windows (Info Centre, reservation overview, email inbox, etc.).- In the window title on the right, click on
AI support.
Note: The input window of the detached AI request is freely positioned and remains in the foreground during processing. - Enter your question in the lower text field (question area) or select an
AI prompt. - Click on
Ask AI to send the enquiry. - The AI's response is displayed in the upper chat area.

- Display further information on the AI enquiry
Background information about your own corporation, company and record context is automatically included in the AI request without being displayed directly. This data can however be displayed.
- Click above the chat window on
Technical details and token consumption to display technical details about the enquiry (date, time, enquiry duration, AI model, token consumption). - Click on
Show basic settings for the AIto see the general instructions from the
Administration, the
Copanies and the
Sync server settings. The information appears at the top of the chat history. - If a
Text template with background information on record has been stored in the table settings for the table in whose context the text field is located, you can display this by clicking on
Details .
- Click above the chat window on
- Enter user-specific instructions for AI support
In addition to the AI instructions that are specified in the administrative area and in the tables, the user can add individual instructions.
- Go to the
Options tab on the function bar and click on
Settings. - Enter individualinstructions (language style, wording, etc.) for your AI requests in the Instructions to the AI field.
