Creating an invoice/credit note for a table reservationM
- Generate an invoice for a reservation
If the administrative settings allow for this,
Invoices and
Credit notes can be created for individual reservations. One prerequisite is that a real customer
Account must be linked to the reservation (a name alone is not sufficient). Also, any invoice items must first be entered in an
Order.
- Go to the
Invoices tab in the side navigation.
- A list of the ordered items (without Count) will appear. The number of ordered items is given in the second column, but the number of items to be paid for can still be changed.
- Copy the item count from the order by clicking
Confirm.
- Create an invoice based on the existing data by clicking
Create invoice.
- A
Spreadsheet with a new invoice number and the status "in progress" will open.
- If there is only one standard template for invoices, the spreadsheet will open directly based on this template.
- If multiple invoice templates have been marked as "Standard", a blank sheet will open first. Select one of the templates by clicking on
Standard (above the toolbar next to the start date).
Example: Invoice for table reservation - An invoice will open with the address, the ordered items and an invoice number, but no date.
- Send the invoice as an email attachment by clicking on
Send document as PDF attachment by email.
- When prompted, choose between making a Customer print-out which has an invoice date or an undated Proof copy.
- Decide whether you want to determine the Terms of payment for this print.
- An
email cover letter will open, with the invoice attached in a PDF format.
- If a Cover letter has already been preset for the spreadsheet template, this cover letter will also appear. If not, select a cover letter template or enter a custom text.
Save the email for sending later or
Send it directly.
- As soon as the invoice is exported or sent as a customer printout with a date, the date of issue and payment term are determined. The status will change to "Sent".

- Generate an invoice for tickets
If the administrative settings allow for this,
Invoices and
Credit notes can be created for ticket reservations. One prerequisite is that a real customer
Account must be linked to the reservation (a name alone is not sufficient). Also, any invoice items must first be entered in an
Order.
The number of guests cannot be entered manually for ticketed events. Instead, it is determined by the number of tickets ordered. The booked tickets appear on the
Orders tab with the single and total price.
- Go to the
Invoices tab in the side navigation.
- Create an invoice based on the existing data by clicking
Create invoice.
- A
Spreadsheet with a new invoice number and the status "in progress" will open.
- If there is only one standard template for invoices, the spreadsheet will open directly based on this template.
- If multiple invoice templates have been marked as "Standard", a blank sheet will open first. Select one of the templates by clicking on

- Enter payments for a table or ticket reservation
If the administrative settings allow for this,
Payments can be entered for
Ticket reservations. Go to the
Invoice items tab within that specific invoice.
- First select the Payment type and the Cost centre from the respective picklists.
- If necessary, correct the Invoice address.
- All invoiced items are listed in the upper part of the window. There is no option for editing items at this stage.
- In the bottom part of the window, click on
Add to enter a new Payment.
- A new input window will open for payment entry. The invoice amount is preset as the payment amount, but can be changed manually.
- Enter the intended use and the guest's payment account.
Save your input by clicking on the icon in the top left-hand corner of the input window.
- As soon as the payment is saved, the status of the invoice changes to "Paid". In the list of invoices, the icon in front of the invoice changes from

- Generate a credit note for a table or ticket reservation
Correct erroneous invoices by first issuing a credit note (correction or cancellation invoice) for the erroneous invoice and then creating a new invoice.
- Go to the
Invoices tab in the side navigation.
- Right-click the erroneous
Invoice and select "Create credit note".
- If there are multiple invoices, click on
Create rebooking invoice. All items from the existing invoices are summarised in the rebooking invoice.
- A
Spreadsheet with a new invoice number and the status "in progress" will open.
- Select a suitable template by clicking on
Select text template (in the toolbar on the left).
- A cancellation invoice will open with the address, the ordered items and an invoice number, but no date.
- To send the invoice as an email attachment, click on
Send document as PDF attachment by email.
- When prompted, choose between making a Customer print with invoice date or an undated Proof copy.
- An
email cover letter will open, with the invoice attached in a PDF format.
- If a Cover letter has already been preset for the spreadsheet template, this cover letter will also appear. If not, select a cover letter template or enter a custom text.

- Change the status of the cancellation invoice and the original invoice to, e.g. "rejected" depending on your company specifications.
